The Assistant Day Services Program Coordinator is responsible as assigned by the program coordinator for the overall operation of the Day Services Program, including: ensuring appropriate center- and community-based activities/training for program participants; ensuring the hiring of qualified staff and the subsequent effective and consistent supervision/ training of staff; ensuring that the program’s physical plant is well-maintained and safe for program participants at all times; and ensuring that the program is in compliance with all OPWDD regulations and standards, as well as all HeartShare standards, at all times as assigned by the program coordinator. Assistant program coordinator will when the program coordinator is absent assume all responsibilities for the program. * Anytime a coordinator will be out for an extended period of time(not counting vacations ect) Administration will assist the program with work flow and support)

Duties and Responsibilities

Under the supervision of the program coordinator, the Assistant Day Services Program Coordinator will:

Service Delivery & Support

  • In conjunction with the program coordinator, provide continuous onsite direction and oversight of the Day Services Program.
  • Ensure that the services provided are of high quality and meet the diverse physical, social, developmental, and community inclusion needs of all program participants. Monitor and facilitate the inclusion of Program Participants in their community.
  • With the program coordinator ensure that there is adequate protection of each program participant’s health, safety, comfort, well-being, and civil, human and legal rights.
  • As assigned by the program coordinator - that the program’s physical plant is clean and well-maintained at all times. Work with appropriate personnel within HeartShare, as well as the building’s landlord and outside vendors, to promptly handle physical plant issues.
  • As assigned by the program coordinator, ensure that program vehicles are well-maintained and properly/safely used by staff. Ensure that all vehicle registrations and inspections are current.
  • Have a current table of organization that clearly delineates lines of authority and responsibility for program administration and oversight when the Program Coordinator and/or Assistant Program Coordinator is absent.
  • Adhere to and maintain Policies & Procedures governing the day-to-day operation of the Day Services Program, including admission and discharge procedures.
  • Along with the program coordinator, ensure the smooth and effective functioning of the Program Planning Team process throughout the Day Services Program.
  • In conjunction with the program coordinator and as assigned, ensure all Heartshare policies for billing, attendance, monthlies, Pcare and precision care guide lines are followed by staff and oversees and ensures these are completed during the required time frame.
  • In conjunction and as assigned by the program coordinator, insure all documentation for behavior, fire safety, vehicle logs and OPWDD requirements including Pcare are competed and reports are sent on time.
  • Ensures with the program coordinator the QA plan that has been developed for that site if followed.
  • Assists program coordinator in Responding and completing all follow up for Incidents and occurrences within the required time frame
  • Assist the program coordinator in Responding and completing all audit citations for both OPWDD and Heartshare within the given time frame.

Fiscal responsibilities

  • . Assist the program coordinator on overseeing the maintenance of all internal fiscal systems, including petty cash and inventory control
  • In conjunction with the program coordinator assist in ensuring program is operating at full budgeted capacity in terms of individual’s enrolled and attending the program. Follows up with coordinator of intake and admissions as needed.

Staff hiring, Supervision and Training

  • Participate in the interviewing and hiring as assigned by program coordinator, all program staff. Ensure that all initial in-service orientation and training takes place in the required time period
  • As assigned by coordinator, conduct regular observations of group rooms and lunchtime meals, as well as periodic observation of community inclusion activities.
  • With the program coordinator and as assigned,ensure that a comprehensive program of in-service trainings and all required OPWDD and Heartshare trainings are competed and current for all staff.
  • As assigned ensure that appropriate staff supervision occurs on a regular basis and that annual staff performance evaluations for the Day Services Program are completed and uploaded to sales force and or submitted to Human Resources within the mandated timeframe.
  • As assigned by the program coordinator, ensure the system that has been put in place by the program coordinator of day and directors of day/employment to ensure that program staff follows all agency, state and federal regulations to maintain program compliance is followed. All required paperwork and documentation is completed and submitted on time.

Individuals Receiving Service

  • In conjunction with the program coordinator, ensure that program participants are clean and safe at all times. Ensure that no program participant is inappropriately left alone or unsupervised at any time.
  • Provide crisis intervention and counseling, as necessary with the program coordinator
  • Maintain confidentiality of program participants at all times.
  • Ensure the appropriate reporting, review and follow-up of all incidents, including allegations of abuse and neglect and serious reportable incidents, within mandated timeframes.

Professionalism and adherence to Agency Guidelines

  • Use positive approaches when handling difficult situations. Avoid gossip and negative discussions. Be flexible and adapt to change.
  • Advocate appropriately and professionally on behalf of program participants, as required.
  • Serve as a role model for both program participants and program staff. Conduct oneself in a professional manner at all times.
  • Ensure appropriate enforcement of agency’s dress code.
  • Remain sensitive and responsive to cultural differences of program participants and program staff.
  • Aspire to continuing professional growth and development. Attend appropriate external trainings and workshops, and maintain certification in CPR/First Aid/AED and SCIP, as required.
  • Represent HeartShare, both within and outside the organization, in a manner that promotes the Mission, Vision, Values, and strategic goals of the agency. Personally, adhere to HeartShare’s Standards & Values Statement, in addition to all other agency policies and procedures. Ensure that HeartShare’s Standards& Values are maintained by all program staff.
  • Participate in both internal and external committees, work groups, and professional organizations, as assigned, including Cluster meetings, DD Managers meetings, IAC, and borough DD Council meetings.
  • Undertake any additional tasks and initiatives as assigned by supervisor or program management.

Qualifications

Qualifications

  • Bachelor’s degree in health, human services or special education field; Master’s degree preferred.
  • Minimum 3 years’ experience working with individuals who are developmentally disabled.
  • Minimum two years managerial/supervisory experience.
  • Working knowledge of NYS OPWDD day habilitation codes and regulations.
  • Excellent communication, training and supervisory skills.

The assistant coordinator is a member of Heartshare’s DD mangers group, and the DD Day Service group.

Qualifications

You are a good fit if you have:

  • High school diploma, GED, CNA (Certified Nursing Assistant certification) or possess a Direct Support Professional (DSP) certificate from an accredited public or private organization.
  • One year or more work experience with individuals with developmental disabilities preferred.
  • Excellent written, communication and mathematical skills.
  • Valid NYS driver license preferred but not required.
  • A flexible work schedule.
