Heavy Equipment Rentals of Texas, LLC is looking for an Executive Assistant who will perform a variety of administrative tasks and support the Senior-Level Managers. The Executive Assistant should be well organized, have great time management skills and be able to act without guidance. Ultimately, this position will contribute to the efficiency of the business by providing personalized and timely support to executive members.
Responsibilities
- Act as the point of contact among owner, executives, employees, and other external partners
- Manage information flow in a timely and accurate manner
- Coordinate project-based work
- File and retrieve documents and reference materials
- Collate and manage data
- Manage and maintain company owner schedules and appointments
- Manage and maintain company owner and executives travel and accommodation arrangements
- Prepare and edit correspondence, communications, presentation, and other documents
- Monitor, screen, respond to and distribute incoming communications
- Record, transcribe and distribute meeting minutes
- Any administrative tasks as business needs necessitate
- Comply with all Company policies and procedures
Qualifications
- Associate Degree or its equivalent
- Minimum of 4 years’ experience
- Proficient in Microsoft Office.
- Excellent verbal and written communication skills
- Strong organizational skills
- High level of attention to detail
- Strong time management and prioritization skills
- Discretion and confidentiality
- Strong ability to adapt
- Ability to conduct business with utmost professionalism
