The Service Department plays an integral role in achieving the Company vision of setting the industry standard in heavy equipment rental solutions.  The Purchasing Coordinator has primary responsibility for:

  1. Supporting the Fleet Maintenance Manager by sourcing purchases for the Company which will minimize fleet maintenance and repair costs in the short term and the long term, to maximize rent turnaround, and for efficient repairs in the field.
  2.  Supporting the Financial Controller to ensure best-practices in administrative processes and paperwork flow in the Service Department.

This position is a direct report to the Financial Controller.

Essential Duties and Responsibilities:

  • Issue Purchase Orders for Work Orders, PM’s, shop supplies and Service Department office supplies, ensuring that all requested purchases have been submitted within the proper approval process and format
  • Purchase parts, services and supplies from vendors, ensuring that the vendor selected will provide the best quality, within the timeline needed, at the most cost-effective price
  • Issue credits to Purchase Orders, as applicable
  • Assemble paperwork for each purchase in a timely manner, ensuring that it is complete and accurate.  (ie: Requisition, Purchase Order, Order Confirmation—as applicable).
  • Monitor Open Purchase Order Report daily to ensure that all parts ordered have been received and that all received parts have been entered into the system.  Understand reason for any open purchase orders older than one week.  Research and resolve discrepancies. 
  • Monitor and track back-ordered parts.  Provide the Fleet Maintenance Manager a weekly update of the status of back-ordered parts 
  • Responsible and accountable for company purchasing email.  All emails should be responded to, handled, and filed as appropriate within 24 hours, or in the case of the purchase of parts, within one hour or sooner if during regular business hours
  • Manage inventory of parts, including cycle counts, annual inventory, reduction of excess and obsolete stock
  • Other duties as assigned by Fleet Maintenance Manager or Financial Controller

Preferred Qualifications:

  • Strong organizational skills.
  • High level of attention to detail.
  • Strong time management and prioritization skills.
  • Ability to conduct business with utmost professionalism.
  • Ability to communicate effectively.
  • Ability to work cooperatively as part of a larger team.
  • Proficient in Microsoft Office.
  • Must be 21 years old and have a clean driving record to operate a Company vehicle.
  • Must pass a pre-employment physical, drug and alcohol screen, and background check.

Education and/or Experience:

High school diploma or general education degree (GED) and 1 – 2 years related experience and/or training; or equivalent combination of education and experience. AA or AS degree in Business or Technical discipline desirable.
