Job Summary:  

The Agency Services Specialist is responsible for enabling agency partnerships with Heritage by providing agents with Heritage licensing and appointments, system access, and training based on collaboration with the Heritage Sales Force.  The Specialist is responsible for individual goal achievement, both quantitative and qualitative, and will also contribute to goals held by the Department.  

 

 

Essential Duties and Responsibilities:  

  • Teamwork
    1. Communicates with co-workers, management, vendors, and others in a courteous and professional manner
    2. Proactively initiates and participates in various Agency Services-related projects

 

  • Customer Focus
    • Responds to telephone, online, and written inquiries
  1. Assists agents with comments or questions regarding their licensing and appointment status
  2. Responds to clients, customers and others related to insurance policy processing
  3. Proactively conducts research and negotiates successful resolutions
  4. Works closely with Territory Sales Managers
  5. Assists with servicing existing clients

 

  • Sales Support
    1. Processes applications, agent contracting paperwork, licenses, forms and required information
    2. Reviews documents for completeness and proactively solicits missing documents
    3. Prepares agent and client communications
    4. Contacts agencies and relevant partners to verify that contact information, websites, and contracts are current
    5. Organizes and updates agency files per regulatory and industry requirements
    6. Participates in special projects as assigned
    7. Handles all agent appointments
    8. Verifies the accuracy of insurance company records
    9. Maintains the integrity of the company and products offered by complying with federal and state regulations as well as company policies and procedures
    10. Troubleshoots technical problems
    11. Provides initial system access training

 

Job Qualifications:

  • High School Diploma or equivalent is required; Associates Degree preferred
  • 4-40 Licensure preferred
  • One year of experience in customer service, office administration, or related required; supporting insurance processing preferred
  • Experience in the property and casualty insurance market preferred
  • Proficiency with Microsoft Office products and internet research tools required
  • Excellent communication skills and ability to interact on a professional level with internal and external personnel
  • Collaborative partner; ability to contribute to a positive work environment
  • Demonstrated customer service focus / superior customer service skills
  • Results-driven with strong problem-solving and analytical skills
  • Ability to work independently in a fast-paced environment and effectively manage changing priorities
  • Detail-oriented and exceptionally organized
