Role Summary
A Cyderes Proposal Coordinator is a part of the Bid Management Team and oversees the process of bidding on cybersecurity RFPs (or equivalent request) from initial opportunity identification, through structuring a proposal, to placing the bid. This is a highly networked role requiring excellent communication, and an ability to work under pressure and to meet challenging deadlines which will lead the sales department to secure winning bids and increase its revenue. Cyderes Proposal Coordinators are business-minded multi-taskers who know how to organize, prioritize, and orchestrate the creation of a proposal highlighting company value propositions. They ensure the smooth running of the bid for a project within the correct time and financial parameters.
The Cyderes Bid Management team works as part of the Business Development Department and are a large part of how Cyderes secures new Customers and/or contracts. Responsibilities include the introduction and implementation of all necessary bid procedures, governance, and processes, assessing the status of bids in progress, checking in with colleagues and department team members, reporting to direct supervisors, and refining bid data to present a polished bid. They comply with customer requirements in order to achieve their goal of securing winning bids.
Proposal Coordinators also provide support to Pre-Sales in a back-up role. They are responsible for processes (Signing, request) when process owners are unavailable. Proposal Coordinators are also responsible for updating and maintaining essential Knowledge Database tools.
Primary Responsibilities
Bid Management Duties
- Management/Ownership of assigned bid/proposal from opportunity identification through to bid delivery
- Understand and escalate technical, strategic and business issues to Manager
- Arrange all post bid reviews internally upon shortlist
- Assemble a bid team with the relevant service and business knowledge
- Manage inputs from a variety of stakeholders, typically involving contributions from sales, marketing, legal, and delivery
- Contributing to the written proposal - both in terms of content and presentation (such as preparation of a management summary)
- Ensure timely delivery of compliant and commercially sound bids
- Organize and track all assigned requests and responses within Company databases
- Maintain and update Company databases regularly.
- Review Bids in appropriate databases and maintain bid information.
Pre-Sales Support
- Back-up Support for the request process.
- Conduct Weekly Loopio Reviews on up to ten questions.
- Log and manage data in CRM
- Back-up Support for the Contract/SOW template process including preparation of net new documents and tracking updates.
- Back-up Support for the Signing process
Desired Skills and Experience
Core
- Have the ability to manage simple opportunities.
- Solid understanding of internal governance procedures.

- Experience in bid management from opportunity identification to bid delivery
- Proficient in Microsoft Word, Excel and PowerPoint
- Understanding of basic Contract Language
- Understanding of the bid process
Advanced
- Must be comfortable working with Director to Executive levels internally.
- Have the ability to manage minor complex, multi-workstream opportunities.
- Background in Cybersecurity solutions and services
- Experience working contracts
- Experience with Knowledge Database tools (ex. CRM, Loopio)
