Summary
The Portfolio Manager position is support staff for the loan officers specializing in expediting all loans under the current regulations, policies and procedures of the bank.
 
Essential Duties

·         Assist in gathering data from customers, internal and external, to compile complete and accurate information for the customer loan file 
·         Assist loan officers in coordinating, processing and closing of approved loans
·         Work and maintain exceptions per bank procedures
·         Responsible for maintaining a balanced spreadsheet on assigned floor plans, running tickets, maintaining titles and processing drafts in a timely manner, work closely with the Credit Department to verify accuracy.
·         Process, coordinate and communicate with customer regarding the status of the loan and closing
·         Works and is measured within all compliance guidelines
·         Accept and process loan payments and payoffs, as well as verify credit.
·         May gather data and process various reports (NSF, Past Due, Credit Tracking, Loans Coming Dues, etc.)
·         May conduct account research to update customer’s complete banking relationship
·         Performs official notary duties
·         Composes, prepares and issues correspondence such as internal memorandums and letters to customers or contractors
·         Provides effective customer service and assists in resolving problems within given authority
·         Performs routine clerical duties including, but not limited to, Word, Excel, filing, faxing, and copying
·         May represent the bank in varies community and civic functions to further enhance the banks image and develop additional business
·         Reinforces the application of superior customer experience through his or her own example along with appropriate follow through with involved customers and employees.
·         Process title paperwork for adding and removing liens
·         Process wire requests, advances and paydowns
·         Manage the process once the loan/renewal is approved through pre and post-closing, and then throughout the term of the loan to include loan agreement monitoring and other requirements via the tickler system.
·         Maintain the Branch’s collateral held in the vault such as titles and life insurance policies; and release them as needed when loans pay off, work with Loan operation as well on this process.
·         Consumer Lending authority through the Matrix
·         Perform all the due diligence regarding new loans and renewals, once approved, to include working with the borrowers, title companies, insurance agents, attorneys, etc. and preparation of forms and other information needed by Loan Operations to prepare loan documents.  This includes working with our builder lines of credit and corresponding sub note process.
·         This position must work closely with the Loan Operations team in regard to daily transactions, finalizing new loans and renewal documentation, funding, and Barcoding/scanning all records into the OnBase system and follow up to check same.
·         Must be organized, self-motivated and team player
·         Cross-sells the Bank's other products and services, referring customers to appropriate staff as indicated.
·         Ability to operate a personal computer
·         Punctuality and good attendance are imperative
·         Foster teamwork in the branch or department to ensure a positive overall customer experience and positive work environment.
·         Answer Telephones, answer questions and direct to the correct Bank personnel

·         Participate in bank training to enhance skill set and meet compliance requirements.
·         Non-Exempt - Ability to work your schedule up to 40 hours with little or no overtime and complete tasks assigned.
 
Minimum Requirements

Must be able to pass a background and Credit check
·         High School Diploma or Equivalent plus 4 years of relevant experience, through in-house training sessions, formal school or financial industry related curriculum, should be business or financial industry related.
·         Intermediate level of work experience, knowledge and training in all loan servicing activities and terminology is preferred.
·         Intermediate knowledge of related state and federal banking compliance regulations, and other Bank lending policies is preferred.
·         Basic knowledge of general office practices; proficient skills typically resulting from a combination of education in computer operation and several years of experience in an administrative position.
·         Ability to read, analyze and interpret general business periodicals, professional journals, and technical procedures.
·         Skills in operating telephone equipment.
·         Courteous social skills to welcome visitors in a business environment.
·         Intermediate typing skills to meet production needs of the position.
·         Intermediate math skills; calculate interest, commissions, proportions, and percentages; balance accounts; add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions and decimals; locate routine mathematical errors; compute rate, ratio and percent, including the drafting and interpretation of bar graphs.
·         Answer phone calls, greet customers and assist walk-ins
·         Notary Public verification required, must notarize documents for Banks customer and employees.
·         Excellent social and networking skills to support the community bank image
·         Must be organized, self-motivated and team player

·         Complete in-house training based on requirements set up for this position

·         Proven ability to provide an Excellent Customer Experience
·         Basic skills in computer terminal and personal computer operation; word processing and spreadsheet software.
·         Effective oral, written and interpersonal communication skills with the ability to apply common sense to carry out instructions and instruct others, interpret documents, understand procedures, write reports and correspondence, speak clearly to customers and employees.
·         Ability to maintain confidentiality at all times

·         Ability to work with minimal supervision while performing duties.

·         Ability to deal with routine problems involving multiple facets and variables.

·         Must follow company policies, all state and federal laws, regulations and guidelines

·         Current driver's license and a vehicle with appropriate insurance coverage if required to drive in the course of performing assigned duties and responsibilities.

The incumbent must be able to perform this position safely, without endangering the health or safety to himself or herself or others.
 
Secondary Duties
·         Photocopies materials, maintains files, issues correspondence
·         Maintains good customer relations and being knowledgeable of bank and subsidiary products
·         Provides support in the absence of Universal Banker I and Universal Banker II
·         Performs duties specific to the position and other functions as assigned
 
Supervisory Responsibilities
The position of Portfolio Manager has no supervisory responsibility.  
 
Environment and Physical Activity
The environment for this position is an open office that is mostly clean and comfortable and includes driving a Bank or personal-owned vehicle approximately 10% of the time which includes exposure to the outside weather elements and moving mechanical parts.  It may include some minor annoyances such as noise, odors, drafts, etc.  The incumbent is in a non-confined office-type setting in which he or she is free to move about at will.
The incumbent in the course of performing this position spends time writing, typing, speaking, listening, lifting (up to 10 pounds), driving, seeing (such as close, color and peripheral vision, depth perception and adjusted focus), sitting, pulling, walking, standing, and reaching.
