Guidance Secretary
200 Days
Reports to: Building Principal and Guidance Counselors
Guidance Secretary Duties:
- Review new student files and verify proof of residence documents are included
- Fax release form to previous school/district for student file
- Enter transfer grades and create student transcript; send out final transcripts for senior class
- Maintain transcripts for all current students and send as requested to colleges etc.
- Down load necessary forms each year
- Run the Master Schedule and make all corrections as the counselors prepare for the coming school year
- Monitor teacher grade books to make sure grades entered are correct, verified and posted correctly
- Prepares and sends out report cards to families who have opted out of obtaining grades online
- Run Honor Roll and Class Rank reports; verify Straight A receipients for Spring Banquet
- Prepare list of seniors who qualify for Illinois State Scholars
- Various and numerous other duties as assigned by the Building Principal or Guidance Counselors
Qualifications:
- High School Diploma or equivalent
- Prior experience with Microsoft Office Suite
- Must have excellent oral and written communication skills to work with teachers, education support personnel, building administrators and the general public
- Must be able to multi-task and be detail oriented
- Prior experience with counting money and/or budget spreadsheets is a plus
- Ability to sit, walk, talk, hear and operate a computer and other technology devices
- Ability to lift and carry up to 20 lbs.
- Enforce school regulations and policies in a professional manner
Work Schedule:
- Full-time, School Year
- Per current contract, this is a 200-day position
