Basic Function

Reporting to the Director of Supply & Planning, the Supply Chain Operations Coordinator is responsible for the creation of a monthly global sales forecast with up to a 12-month horizon that is time aligned to project product demand for Tulsa and to reconcile forecast to actuals. This work requires an extensive use and maintenance of SAP as the main forecast tool/system. This position vets business opportunities for feasibility within current forecast periods, advises the sales team on tracking of actual to forecast and identifies pinch points in inventory and replenishment.

Job Duties

  • Crisis management for situations that involve conflicts that arise out of products being off specifications, short/long term refinery/logistical problems that cause product outages, customer complaints, human error that causes product outages, etc.
  • Manage and provides key decision-making data for Tulsa used on ongoing base stock level out 4 to 6 months, to resolve feasibility/impact of demand shifts or potential new business to confirm Sales commitments to our largest accounts.
  • Provides constant monitoring of assigned lubricant, light oil and/or heavy fuel oil product inventories which may include daily monitoring of oil movements, inventory positions and communicating with appropriate departments.
  • Strategic planning and supporting growth plans for Tulsa and intercompany initiatives which includes but are not limited to:
  • Developing implementation plans while coordinating with stakeholders for new initiatives
  • Ensuring our system can support the new business or driving for workaround to support growth
  • Daily operations support includes but not limited to:
    • Lead weekly operational S&D meeting for Tulsa
    • Lead point of contact for resolution of daily operational issues to sales and other departments
    • Provides monthly demand forecast to Lubricants STE for all active Tulsa SKUs
    • Manages monthly demand consensus process which incorporates the collaborative input directly from customers and sales into the demand forecast.
    • Develop/issue KPIs for Inventory Control and Demand Forecasting
    • Evaluate KPIs for S&OP process, participate in monthly business review meetings
    • Providing blending direction and tank assignments for Tulsa and associated terminals
    • Manage inventory to meet inventory guidelines and prepare turnaround plans for TA events
    • Develop plans to manage S&D through supply constraints, up to and including allocations to customer, leading the Risk Crisis Team through an event per procedure guidelines.

Special assignments or tasks assigned to the employee by their supervisor, as determined from time to time in their sole and complete discretion.

Experience

A minimum of 3 years job related and/or industry experience is required.

Experience in process engineering, technical services, distribution, sales or production preferred.

Experience with SAP forecasting tools preferred.

Education

Post-secondary degree or equivalent consistent with position and career development. A Bachelor’s degree in business, Global Supply Chain or related field preferred.

Required Skills

  • Strong interpersonal skills to coordinate between operations, distribution, and sales to implement strategic inventory and forecast decisions.
  • Clearly understands the concepts and priorities to make strategic business decisions related to inventory and forecasting
  • Demonstrated computer literacy especially Excel, Power Point, and Word
  • Working knowledge of SAP
  • Being innovative, creative and having a continuous improvement mindset
  • Ability to work under pressure
  • Ability to communicate both orally and in a written form within area of expertise to all levels of the organization
  • High competency level in individual business function and areas of expertise
  • Ability to make decisions with limited information and many constraints to consider
  • Decision making:
    • Key decisions in managing inventory levels in bulk storage and evaluating forecasts impact on inventory requirements which has significant impact on meeting customer demands
    • Key decisions and recommendations when demand exceeds supply capabilities, up to and including allocation recommendations
    • Creative new solutions will need to be implemented as our business grows

Work Conditions

Office-based with occasional refinery visits from time to time and with travel up to 30% by land and air required. Petroleum refinery/industrial environment, including but not limited to, working near moving mechanical parts and/or rotating equipment, petroleum products, chemicals, pressure vessels, and/or tanks. Subject to varying road and weather conditions.

Physical Requirements

Job conditions require, sitting, talking or hearing, making visual inspections, making precise finger and hand movements, reaching or grasping. Job conditions may require standing, walking, and wearing personal protective equipment.
