Job Role Summary
This position is responsible for performing secretarial and quasi-administrative tasks supporting the activities of the department. The support staff personnel will be responsible for greeting department visitors, handling client PHI, completing timely financial transactions and reports and providing overall support to department staff. This is not a driving position but travel to other MCPHD sites or community partners may be required.
Essential Duties
- Prepare necessary paperwork for regular department procedures
- Check office supply stock and place orders when needed
- Arrange staff travel and accommodations, if requested
- Correctly enter all data into the Insight database within one week.
- Investigate incomplete data information on lab slips.
- Verify Medicaid coverage and complete financials in a timely manner.
- Greet department visitors, answer phones and assist the public with questions.
- Collect and process incoming and outgoing department mail, faxes, and deliveries.
- Maintain and organize filing system for efficient record retrieval.
- Comply with training and practice requirements for Health Insurance Portability and Accountability Act of 1996 (HIPAA).
- Maintain knowledge of Marion County Public Health Department services and programs and communicate that information to members of the diverse community.
- Participate in public health emergency preparedness exercises and in the response to public health emergencies, as directed
- Participate in a minimum of two Health Outreach Promotion and Education (H.O.P.E.) events totaling a minimum of eight (8) hours annually
Qualifications
- High school diploma or equivalent
- Computer knowledge
Knowledge, Skills & Abilities
- Strong verbal and written communication skills.
- Computer proficiency in Microsoft Word, Excel, Power Point, and Internet.
- Self-starter capable of working independently.
- Motivated and able to shift daily work plan as priorities change.
- Effective coordinator with internal staff and key outside constituents.
- Ability to organize and prioritize work and meet strict deadlines.
Working Envirornment
- This is a non-driving positional however occasional driving may be required to conduct department activities outside the base office.
- Office time includes confined sitting, prolonged computer screen time, and steady use of hands and fingers.
- Annual health vaccinations are required as a condition of employment. Certain exemptions may apply with prior approval and documentation.
