JOB SUMMARY
The Department Administrative Assistant will provide secretarial and administrative support to the Department Director and Assistant Director.
QUALIFICATIONS * Administrative background required. * Basic reading, writing, and arithmetic skills are required. * Background should include word processing and document control. * Professional verbal and written communication skills. * Proficient and comfortable with the use of computers and technology. * Excellent spelling and grammar. * Good phone skills. * Organized; sets priorities; meets deadlines; able to multi-task. * Carefully proofs own work.
Position Duties:
Answer telephones. * Dispatch messages. * Create and modify documents using Microsoft Office. * Maintain all documents. * Perform general clerical duties. * Photocopying * Faxing * Mailing (opening and sorting) * Bill paying * Filing * Modify hard copy and electronic filing system. * Maintain all documents. * Provide general accounting assistance. * Coordinate and maintain records for pagers, parking, and office keys. * Set up and coordinate department * Limited/general human resource functions. * Limited/general benefits administration. * Payroll maintenance. * Upload punches. * Daily backup. * Print daily man-hour report for department director’s review. * Sort sign-in sheets. * Send employee files and payroll information to HHS corporate payroll department. * File management. * File employee/vendor information. * Activity reports. * Input census numbers in the activity report. * Provide general accounting assistance. * Job description/sign-in sheet management. * Sort job descriptions, complete checklists, and maintain in a binder. * Order supplies. * Inventory/order office supplies. * Schedule appointments. * Schedule all appointments for the department director/assistant director. * Input work orders. * Distribute employee checks. * Distribute safety rewards
Job Type: Full-time
Pay: $11.00 - $12.50 per hour
