Leslie Hindman Auctioneers (LHA), one of the nation's leading and fastest growing fine art auction houses, is looking for a talented Executive Assistant to support the achievement of company objectives by working closely with the CEO and Director of Private Clients on a wide range of administrative duties, many of them confidential in nature. The assistant will provide outstanding level of customer service to both external clients and internal staff.
Key Responsibilities:
- Coordinate executive communications, including taking calls, responding to emails and interfacing with clients
- Maintain a complex and detailed executive calendar, prioritizing and scheduling appointments and meetings
- Plan meetings, coordinate logistics and catering, and take and distribute detailed notes
- Coordinate domestic and international travel arrangements and manage itineraries
- Prepare, submit and reconcile expense reports
- Draft and send emails and correspondence to internal staff, clients and vendors
- Prepare and maintain reports, documents and contact lists
- Develop and maintain paper and electronic filing systems
- Act as the point of contact for internal and external clients, providing outstanding customer service
- Uphold a strict level of confidentiality
Successful Candidate will Possess:
- Associates Degree and 1-2 years of administrative experience supporting an executive
- Proficient in MS Office, including Outlook, Word, Excel, and PowerPoint
- Demonstrates a positive disposition, a high degree of judgment, strong initiative, and the utmost discretion
- Excellent verbal and written communication skills
- Superior organizational skills and strong attention to detail
- Ability to handle confidential information
- Self-starter with ability to prioritize responsibilities and effectively problem solve with appropriate follow-through
