Overview
The Operations Manager for the OKC office is tasked with driving sustainable growth by building a team of professionals that serves the local AEC community. The Operations Manager oversees the daily activity and ensures projects within the branch are being executed to achieve success at all levels. Areas of responsibility listed below are to serve as a guideline to give the Operations Manager the direction and authority to lead the business unit and monitor progress and execution of its projects. The Branch Manager provides oversight and direction for the Operations Manager.
Qualification Requirements:
- College degree in Engineering or Construction, or related field preferred
- Industry certifications, such as ACI, ODOT, NICET, ICC preferred
- Proven track record of leading a business unit and developing new clients
- Minimum 8 years of experience in construction industry, including at least 3 years in management role
Responsibilities and Essential Duties include the following:
- Business Development
- Develop repeat client base through collaboration and being a reliable partner (weekly)
- Oversee proposal development for CMT, GEO and ENV service lines (weekly)
- Monitor the proposal plan progress and discuss deficiency and recovery plans with project managers (weekly)
- Review proposal estimates for thoroughness and accuracy (daily as needed)
- Participate in business development meetings, professional organization meetings and networking events (weekly internal meetings, and attend organizations on monthly basis)
- Provide guidance to key staff regarding expectations of their business development activities. (weekly)
- Financials
- Manage P&L statements to meet annual plan and 90-day budgets (monthly)
- Verify manpower projections are up to date and correspond with 90-day budget forecasts (monthly)
- Verify 90-day forecasts are up to date and review with project managers (monthly)
- Review project profitability and address concerns with project managers (monthly)
- Review utilization weekly and address any specific concerns (weekly)
- Periodically review unit rates used on projects (at least every 6 months)
- Accounting
- Verify that contracts are secured for all projects (weekly)
- Verify timely and proper set of project files in InFocus, including saving the contract in the project documents (weekly).
- Ensure project invoices are timely and accurate (mid-month and month-end)
- Ensure timesheets are reviewed and submitted per policy (weekly)
- Monitor accounts receivable collection efforts, keep >90 to <8% of total AR, and ensure project managers are involved with collection efforts for any invoice >60 (weekly)
- Personnel Assignments
- Assist the project managers with personnel assignments and identify capacity and manpower needs (daily).
- Monitor and update personnel development plans for the project managers and key branch employees (quarterly)
- Conduct weekly 1:1 meeting with direct reports and ensure that all personnel at branch have a scheduled 1:1 meeting with their direct report (weekly)
- Ensure 100% completion of quarterly employee performance reviews (quarterly)
- Conduct staff meetings (at least monthly)
- Miscellaneous
- Lead weekly project management meetings to review project load of individuals, over-budget projects, project follow up for next level services, proposal follow up, report review and distribution status, utilization, and progress toward proposal goals (weekly)
- Attend weekly companywide manpower meetings and update manpower projections (weekly)
- Maintain a favorable working relationship with all other company employees to foster, aid and promote a cooperative and harmonious working climate which will be conducive to maximum employee morale, productivity, and efficiency/ effectiveness. (daily)
- Ensure trucks and field equipment are maintained in accordance with company policy (every 2 weeks)
- Oversee local safety committee representative duties, support needed safety initiatives, achieve 100% completion of monthly E-Safety, and ensure weekly toolbox talks are conducted (weekly)
