Boutique Estate Planning law firm in Westlake Village, CA, is seeking to hire a dynamic legal assistant/paralegal to support their well-established and primarily referral-based office as an OFFICE MANAGER/FUNDING COORDINATOR.

This close-knit team of attorneys, paralegals, and support staff is passionate about assisting families with their estate and business planning needs. The firm offers a small team environment where client care and concern is our top priority. Compassion and empathy are required to interface with our clients daily.

OFFICE MANAGER/FUNDING COORDINATOR QUALIFICATIONS:

  • Estate Planning experience or financial services experience with trust accounting and bookkeeping.
  • Tech-savvy with MS Office Suite, Outlook, Quickbooks online, Adobe, and CRM software - we use Clio and WealthDocx.
  • Office manager experience with scheduling, payroll, banking reconciliation, making deposits and paying bills, ordering office supplies, hiring and onboarding new employees, vendor relationship management, office equipment maintenance, planning inter-office events, preparing and facilitating weekly office meetings, creating and overseeing SOPs, project management, and similar supervisory, administrative responsibilities.
  • Client Services experience includes greeting and supporting clients, answering phones, following up with clients regarding their files, case management, document filling, preparing binders, meeting and exceeding timelines, scheduling, and calendar management.
  • You have notary experience or agree to become a notary public upon hire.
  • You are interested in creating, facilitating, and coordinating a monthly Funding Instruction Webinar for our clients - you will independently spearhead this project for the firm.
  • You have experience and are knowledgeable about financial products and services, have a background in trust accounting and light bookkeeping, and are comfortable answering questions about IRAs, Roth IRAs, and 401Ks.
  • You bring exceptional attention to detail, the ability to prioritize multiple tasks, superior organizational skills, strong verbal and written communication, and a proven ability to manage time effectively and efficiently.

Job Type: Full-time

Pay: From $60,000.00 per year
