Summary

Essential Functions And Responsibilities

- Demonstrate professionalism and confidentiality while promoting teamwork.
- Compile materials for Board of Directors and Executive Team meetings under supervisor direction.
- Support communication between internal and external departments and company partners.
- Assist with departments Operating plans.
- Create and complete correspondence as directed; to include word processing/typing of letters, memos, forms, policies, and procedures (includes handling of confidential information).
- Prepares summaries of reports and information as directed.
- Maintain documentation, including charters, meeting minutes, member lists and subcommittee notes, for committees in Sharepoint library.
- Responds to information requests on behalf of the corporation and its subsidiary companies, as directed.
- Coordinate communication and document flow between Corporate Operations and other subsidiary companies.
- Manage and complete all scanning, photocopying and filing needs for the department.
- Act as a project coordinator for special projects, as directed, which may include planning and coordinating multiple presentations, disseminating information, and organizing companywide events.
- Maintain the Finance Team department calendar and coordinate reoccurring meetings for the Chief Financial Officer and/or accounting team members.
- Supports executive team during meetings including preparing agendas, making arrangements, and recording minutes.
- Participates in the planning of the Accounting/Finance retreats and staff development meetings.
- Coordinate travel arrangements for the Chief Financial Officer
- Run errands as necessary to support department needs.
- All other job related duties as assigned by immediate supervisor.
- Knowledge of a variety of computer software applications in word processing, spreadsheets, database, and presentation software.
- Ability to work in a fast-paced environment with demonstrated ability to juggle multiple competing tasks and demands.
- Capacity to adapt to continual change.
- Possess a high level of interpersonal skills to handle sensitive and confidential situations. Position continually requires demonstrated poise, tact, and diplomacy.
- Ability to read and comprehend simple instructions, short correspondence, and memos.
- Ability to write grammatically correct correspondence.
- Ability to effectively present information in one-on-one and small groups situations to customers, clients, and other employees of the organization.
- Hold and maintain a valid Driver’s License and be insurable under company insurance provider/program.
- Associates degree (A.A.) in Business Administration or related field from two-year college or technical school preferred.
- Four or more years of related experience in an administrative position required.
