Responsibilities
About the role:
Dispatcher II is responsible for on-time performance, order accuracy, and maintaining and growing the overall truck fleet while maintaining DOT compliance. Assist in growing the company’s hauler selection, DOT compliance, and assure compliance with company policies, risk management, DOT, and other regulatory requirements. Develop current customer base.

- Identify substitute products, operating hour adjustments, and service opportunities across the site portfolio
- Maintain frequent communication with plant and sales team
- Coordinate directly with customers and contracted haulers; Choose the best haul solution for each order
- Maintain productive and professional relationships with haulers
- Utilize, maintain and update hauler directory
- Attract new haulers to ensure division has access to the adequate number of trucks
- Dispatch trucks, track performance in real-time; monitor demand, utilization, and capacity while prioritization work distribution
- Identify optimization and backhaul opportunities
- Coordinate hauler schedule commitments; Monitor reliability/performance; Track overall customer and hauler satisfaction
- Document and record all customer/hauler complaints in the system
- Forecast future haul needs (i.e., next 2 weeks)
- Process the documentation that accompanies the movement of freight
- Customers’ first telephone point of contact for questions, orders, pickup, and delivery needs, freight status, complaints, and problem resolution
- Ask for additional business from customers and provide leads to sales for potential new opportunities
- Enter complete/accurate customer order details into information systems
- Proactively seek customer feedback to identify areas of improvement and trends in all operations; communicate ideas and solutions to the team
- Communicate with Sales, Operations, and contracted haul companies
- Perform administrative functions necessary for daily operations including, but not limited to, entering and processing non-ticketed haul paperwork, report creation, filing, answering phones, copying, and perform
- Other duties as required
- Track various scale information and produce reports to provide metrics, identify areas of improvement and trends
- Perform scale house (weigh master) duties as needed. Requires reliable personal transportation to offsite locations on short notice
- Conduct spot inspections/audits to ensure DOT compliance to minimize risk
RELATIONSHIPS WITH OTHER JOBS
Works closely with Territory Sales Managers, Gate Keepers, Plant, Yard Supervisors, Transportation Coordinators, Billing Coordinators, and Customer Service & Logistics Managers.
Qualifications
We're looking for:
Required Education: Associates/Technical Degree, a minimum of 2 years post-secondary
Additional Education Preferred: Bachelor's/Undergraduate Degree with relevant work experience or a minimum of several years of experience in dispatching positions.
Required Work Experience: 3-5 years
Licenses Preferred: Must have a valid driver’s license and the ability to drive an automobile.
Required Computer and Software Skills: Ability to use Microsoft Office Software (primarily excel and word)
Travel Requirements: 15%
Additional Requirements:
- Ability to count and perform basic math, with or without a calculator
- Above average written and verbal communication skills (documentation, communication with peers, supervisors, etc.)
- Professional telephone etiquette
- Skills: Short-haul trucking background & phone solicitation skills
- Physical Requirements: The candidate must be able to sit for long periods
- Additionally, they must be able to use common office tools and technology, such as cell/office telephone, calculators, and other electronic devices. Must be able to use computerized equipment and highly sophisticated computerized devices
- Ability to work in a stressful, deadline-oriented environment that requires complex, technical information and decision making. Must have a strong analytical orientation
