Summary:
The Total Rewards Coordinator is an entry-level Human Resource position and provides the administrative support to the Hollister Total Rewards program, including compensation and U.S. benefits. This includes being a liaison to employees for questions and issues. In addition, this role will be a liaison between Total Rewards and other HR functions such as: HR Business Partners, Global HR, Finance, Payroll, HR Operations, Talent, Shared Service and HR Information Systems (HRIS) teams. The role involves familiarity with the SAP HRIS system to ensure accuracy of Associates’ records throughout the employment life cycle.
Responsibilities:
Specific to Benefits:
- Supports U.S. benefits programs, to include but not limited to health and welfare (medical, dental, vision, flexible spending accounts, HSA, EAP), wellness, ancillary insurance (disability and life), voluntary benefits, some expatriate benefits, and 401(k) retirement plans.
- Reviews and stays up-to-date knowledge on:
- All plans and programs as it relates to company policies
- Changing regulations that may affect benefit plan compliance, including FMLA, ADA, COBRA, HIPAA, FLSA, and ERISA and file required reports to agencies
- Functions as a coordinator between vendors and employees and advises on eligibility, coverage, claims and other benefits matters; including executing appeals process based on provided guidelines.
- Compiles and maintains new hire/benefits records and documents while managing and ensuring file room and personnel record compliance
- Supports Annual Open Enrollment process administration
- Partners with Total Rewards team members to:
- Support benefits communications, including plan materials, system navigation guides, etc.
- Test new or updated systems and interfaces
- Ensure websites (internally & externally) are updated with current Benefit information
- Partner with Finance and Payroll team to ensure deductions are accurately captured and W-2 data is provided
- May facilitate new hire orientation, including communication of Hollister benefits policies and procedures
- Process all benefits invoices to ensure payments are made on-time and accounts are in good standing
- Execute 401k administration, including processing requests for rollovers, contribution changes, distributions, loans, and beneficiary assignments
- Monitor MyCareer@Hollister emails and responds to employee questions within 48 hours and forwards employee emails to other appropriate contacts as needed.
Specific to Recognition Program:
- Primary global point of contact for employees and leaders. Manages reporting and cash payment processing.
Specific to Compensation Program:
- Partners with Global HR team to assist in SAP/EC data entry
- Assists Sr. Manager Global Compensation in the completion of annual compensation salary survey submissions
- Monitor emails from a general mailbox and assign to Compensation representative.
- Assist Global Compensation team with various tasks to support our business
Requirements:
- Associate’s degree or equivalent experience, such as CEBS; Bachelor’s degree preferred
- 0-2 years overall experience is required
- Strong PC skills, especially in Word, Excel, PowerPoint, and Access or other various spreadsheet applications
- SAP HR module experience preferred
- Good customer service focus
- Good communication skills, both verbal and written
- Ability to interact effectively with all levels of associates in the organization and external benefits partners
- Strong problem solving and analytical skills
- Ability to manage time and multiple priorities effectively in a fast-paced environment and function independently with minimal supervision
