Hazen, ND Accounting Coordinator

Position: Accounting Coordinator (Full-Time)

Salary: Dependent on experience


We are currently seeking a full-time Accounting Coordinator to join our team in Hazen, ND, working Monday through Friday. Our office staff also shares responsibilities for on-call coverage during evenings and weekends. The compensation for this role will be dependent on your experience. As an Accounting Coordinator, you will play a pivotal role in ensuring the accuracy of billing and payroll information, processing payments, and delivering excellent customer service.

While prior accounting experience is not mandatory, the ideal candidate will possess strong mathematical skills, proficiency with computers and Microsoft Office, and the ability to learn quickly and multitask effectively. We value individuals who are self-starters and can work both independently and collaboratively within a team.

Responsibilities:

  • Review, correct, and finalize all completed shifts for the previous day for our clients and care professionals.
  • Identify and correct discrepancies in bill and pay durations.
  • Prepare and send out client invoices on billing dates.
  • Verify the accuracy of customer bills.
  • Enter service dates and data for all state and VA programs into the appropriate online portals.
  • Process ACH and Credit Card payments for private pay clients on billing dates.
  • Monitor and record customer payments as they come in.
  • Deposit and record physical checks into the proper bank account.
  • Review and enter authorizations into WellSky for the client’s billing policy.
  • Update and review payroll information for raises, promotions, terminations, and new hires.
  • Process and verify semi-monthly payroll.
  • Address questions and resolve issues regarding payroll.
  • Correspond with clients, answer questions, and resolve any billing issues.
  • Maintain and update billing records, including Long-Term Care insurance information, customer payments, etc.
  • Provide excellent customer service to clients, care professionals, and family members.
  • Handle new client inquiries over the phone knowledgeably.
  • Answer incoming calls in a friendly, professional, and knowledgeable manner.
  • Ensure authorizations are up-to-date and communicate any nearing expiration dates to prevent a break in scheduled services.
  • Contact the appropriate key players regarding any client and/or care professional issues directly impacting the client’s care and/or care professional retention.
  • Share on-call rotation.
  • Provide necessary reports to the direct supervisor as needed.
  • Keep up with ongoing personal development.
  • Adhere to all company policies, procedures, and business ethics codes.
  • Perform any and all other functions and responsibilities deemed necessary.
