Salary Range: $25.00 - $28.00 per hour

POSITION OVERVIEW
The Programs Associate is part of the Housing Operations team that delivers HomeRise’s housing, resident services, and programs to formerly homeless individuals and families in San Francisco. This position’s primary responsibilities are project and administrative support to the Director of Housing Operations. This position requires excellent time management, great attention to detail and confidentiality. Position will contribute to the effectiveness of operations directly impacting the lives of more than 1,700 formerly homeless individuals every year, creating pathways to self-sufficiency and improved quality of life. This position reports directly to the Director of Housing Operations with accountability to the Vice President of Programs for select projects and duties.
ESSENTIAL FUNCTIONS
Provide thorough, accurate, and reliable administrative support to the Director of Housing Operations (DHO), assisting to coordinate Housing Operations functions and special projects.- Draft correspondence, internal and external reports, presentation materials, meeting notes, and research reports on areas of Operations development with direction from DHO. Assist with drafting and formatting of manuals, forms, and other documents related to Housing Operations functions.
- Develop and maintain a robust training program for Housing Operations Staff that includes working with a variety of stakeholders to determine foundational and developmental needs, source educational partners/trainers, negotiate contracts, maintain collaborative relationships, payment and budget management, while prioritizing regular analysis and evaluation.
- Work with a variety of stakeholders to develop, test, create and communicate new policies and procedures for the Housing Operations Department as well as cross-departmentally.
- Create regular opportunities to connect with staff across all HOD sites to ensure effective communication, create clarification, and identify needs, with direct and accountable follow-up
- Manage and maintain systems for centralized ordering of supplies and materials for departmental activities.
- Perform data entry and create spreadsheets and reports to assist DHO with budget creation and oversight, data reports to other internal departments, and preparation of information for external partners and funders.
- Assist with preparation of content materials and documents required to ensure Gross Potential Rent, Vacancies, Desk Audits and other Compliance reports are submitted on time and in compliance with rules, regulations and requirements.
- Assist with scheduling, event planning, logistics, and execution of meetings, events, and trainings for Housing Operations Department, including meetings with external partners, regular monthly department meetings and other internal meetings, major project activities, and Housing Operations org charts and staff trainings.
- Provide the Vice President of Programs with thorough, accurate, and reliable administrative support on special projects and general administrative matters.
- Draft correspondence, internal and external reports, presentation materials, meeting notes, and research reports on areas of program development with direction from the DHO. Assist with drafting and formatting manuals, forms and other documents related to Resident Services functions.
- Provide administrative support for meetings and trainings related to special projects (note taking, meeting set-up, materials preparation, etc.).
- Perform other duties as assigned.
QUALIFICATIONS

- High School Diploma or GED equivalent required.
- Qualified individuals must have a minimum of one year of administrative experience, preferably in the non-profit sector. Proven track record working independently and as part of a larger team. Experience working with senior nonprofit leaders and familiarity with supportive housing preferred.
- Excellent computer skills in PC environment (Outlook, Word, Excel, databases, data entry, and communication systems), and enthusiasm for learning new technology skills required.
- Capacity to juggle multiple tasks and projects, manage shifting and competing priorities, and remain organized.
- High level of organization, attention to detail, and follow-through, able to complete tasks and meet deadlines as assigned.
- Understanding of confidentiality and experience working with sensitive documents and information.
- Able to work independently and follow directions with minimal supervision, while asking for clarity when needed.
- Able to remain calm, professional, and focused under pressure to perform and meet deadlines.
- Able to navigate interpersonal communication and compose clear and professional written business correspondence.

Location: San Francisco, CA- Full-Time / Non-Exempt
- Schedule: Monday through Friday 9 AM - 5 PM
