Purpose of Position

This position provides supervision and leadership for the Company’s brokerage division and is expected to be actively involved with and provide leadership within the professional real estate community both statewide and locally so as to encourage the retention and recruitment of professional real estate agents.

Day to day responsibilities include the oversight, supervision, education and training of Company’s branch management and sales associates and for maintaining Company’s compliance with Arizona Department of Real Estate’s (“ADRE”) regulations and Company policies and procedures relating to real estate transactions.  The position is responsible for overseeing and maintaining the Company’s transaction related records, agent licensing compliance and updating disclosure, and other forms, contracts and related documentation required to be processed in connection with a real estate transaction. 

In addition to working with the Company’s branch management and agents, the position acts as the face of the Company to consumers and members of the public with respect to questions or issues that may arise in connection with real estate transactions. Outstanding communication and conflict resolution skills as well as high level professional standards are a necessity. 

Job Duties and Responsibilities (Essential Job Functions)

  1. Oversee administration of licensing compliance and renewals of all sales associates.  Supervise the training of management and sales associates with the rules and regulations of ADRE, NAR, Code of Ethics, local associations and MLS’s to ensure compliance therewith.  (10%).
  2. In collaboration with the Company’s executive management, revise and update key Company risk management processes and forms and to ensure compliance with ADRE and HomeServices of America’s risk management requirements and real estate business standardization.  (10%)
  3. With the assistance of the Contract Review Team, oversee and provide guidance to management and staff in the maintenance of transaction files and record keeping systems to ensure compliance with ADRE and HomeServices’ requirements:    
    1. Audit sales files to ensure that they meet ADRE requirements and to prepare for general audits by ADRE.
    2. Work with branch management and staff to develop and provide detailed guidance in the use of the electronic record keeping system.
    3. Conduct weekly meetings with Contract Review Team for input on best practices. (15%).
  4. In collaboration with the Company’s executive management, develop, update and present continuing education training and Companywide classes related to contracts, risk reduction and good business practices:
    1. Oversee all agent contract training, including new agents, commencing with Academy.
    2. Review existing training programs and oversee updates of same.
    3. Prepare newsletter articles and Companywide communications related to new developments in National and Arizona real estate practices and risk reduction issues.
    4. Plan and conduct webinars and branch level “Hot Topic” broker presentations in an effort to train and retain experienced agents as requested by management. (25%)
  5. Assist managers and agents in resolution of consumer related disputes and complaints. (20%) 
  6. Provide assistance and direction in connection with responses to and resolution of ADRE and AAR ethics or BBB complaints directed to the Company and/or Sales Associates.  (10%)
  7. Represent Company at statewide and local professional organizations and on task forces as requested by Company’s executive management.  (5%)
  8. Assist with written communications relating to Company culture and agent recognition.  (5%)
  9. Complete special projects and assignments as requested by executive management.  (5%)

  • Follow the Company HR Policy, the Code of Business Conduct and all subsidiary and department policies and procedures, including protecting confidential Company information, attending work punctually and regularly, and following good safety practices in all activities.
  • Support the Company’s employee policies and procedures, including workplace safety rules.

Qualifications

Education:

  • Bachelor’s degree; or equivalent work experience.

Experience:

  • 5 years previous real estate experience

Knowledge and Skills:

  • Demonstrated knowledge and understanding of real estate management and the Company’s business processes.
  • Comprehensive real estate experience, including sales, training and management.
  • Consumer relations skills. Media relations experience, including training in writing, marketing and public relations.
  • Excellent oral and written communication skills, including presentation skills.
  • Effective analytical, problem-solving and decision-making skills.
  • Project management skills; ability to prioritize and handle multiple tasks and projects concurrently.
  • Demonstration of advanced technical knowledge.

Other (licenses, certifications, schedule flexibility/OT, travel, etc.):

  • Valid real estate and broker’s license with continuing education credits in real estate and additional professional designations.
