Position Summary: The Automotive Administrative Assistant at HoneyCar will be responsible for a variety of administrative tasks to support the dealership's operations. This role requires excellent organizational skills, attention to detail, and the ability to multitask in a fast-paced environment. The ideal candidate will be proactive, customer-focused, and possess strong communication skills.
Key Responsibilities:
Reception and Customer Service: Greet customers and visitors, answer and direct phone calls, and respond to inquiries in a friendly and professional manner.
Administrative Support: Provide administrative support to the dealership's management and sales teams, including scheduling appointments, managing calendars, and preparing documents.
Record Keeping: Maintain accurate and organized records of vehicle sales, service appointments, and customer information.
Inventory Management: Assist in managing vehicle inventory records, including tracking incoming and outgoing vehicles.
Data Entry: Enter and update customer and vehicle information in the dealership's database with precision and attention to detail.
Billing and Invoicing: Assist with billing processes, including preparing invoices, processing payments, and reconciling accounts.
Communication: Coordinate communication between departments and assist in disseminating information to staff and customers.
Office Management: Ensure the office is well-maintained, including ordering supplies, managing mail, and overseeing office equipment.
Event Coordination: Assist in planning and organizing dealership events, promotions, and meetings.
Compliance: Ensure all administrative tasks comply with company policies and industry regulations.
Qualifications:
Experience: Previous experience in an administrative role, preferably within the automotive industry.
