Part-Time Office Administrator

Horizon Industries Limited (Horizon) is a dynamic IT and Management Consulting firm based in Washington, DC area. We are currently seeking an Office Administrator for a part-time position in Vienna, Virginia supporting the corporate office.

Job Description:

The Office Administrator is responsible for overall front office activities, including the reception area, mail, large purchasing requests, and facilities. This person is considered the face of the organization, with this they are expected to be warm, welcoming, and inviting to both employees and visitors at all times.

 Duties of an Office Administrator may include:

  • Manages the reception area to ensure effective telephone and mail communications both internally and externally to maintain a professional image.
  • Monitoring office inventory and ordering supplies e.g., office supplies as well as kitchen/food stock.
  • Supervises the maintenance of office equipment, including copier, fax machine, etc.
  • Responsible for the facility's day-to-day operations, including visitor access, security/key access, new hire mailings and email account set-up, liaison with property management etc. 
  • Securing/organizing/coordinating for on and off-site meetings/events including venue, food vendors and preparation of presentation materials.
  • Filing and updating records as required.
  • Participates as needed in special department projects e.g., internal office moves as well as HR and finance projects. 

Required Skills / Experience:

  • At least two years of previous experience in office management.
  • The ability to prioritize and independently multitask in a fast-paced, small business environment.
  • Working knowledge of mail processes such as postage machines, FedEx, and UPS.
  • Familiar with MS Office Suite products such as Teams
  • Strong interpersonal and presentation skills for interacting with team members and customers.

Education: Bachelor’s degree or equivalent preferred
