City Cruises is seeking a Wedding and Event Coordinator for our operation in Norfolk, VA

About You:

This person will be adaptable, dynamic, and embody City Experiences' RESPECT Service System.

About the Opportunity:

The successful Wedding & Event Coordinator will act as the guest's primary contact post-booking, ensuring a smooth process up until and after the guest's cruise. This position will focus on larger events, with an emphasis on deck and full ship charters around the corporate and wedding markets.

Essential Duties & Responsibilities:

Event Coordination & Guest Service

  • Coordinate the cruise details with the Sales Manager, Food & Beverage (F&B) and Operations Team once the sale has been finalized.
  • Act as the liaison between the Company and special-order vendors as needed.
  • Develop comprehensive knowledge of product offerings, product extras, pricing and scripting for all standard products, specifically but not limited to the Wedding Market
  • Obtain all information related to cruises from the sales team.
  • Coordinate all components of a cruise including tickets, bar packages, photo packages, and other special event orders.
  • Place special event orders with appropriate, approved outside vendors.
  • Perform pre-cruise calls to confirm final group counts and to finalize any last-minute event details including menu, bar packages, entertainment and other special requests.
  • Ensure complete and accurate product details are communicated to the F&B and Operations Departments to ensure proper execution of the product promised.
  • Ensure communication is done in a timely, efficient manner.
  • Solicits input and works with Director of Sales and other sales team members to finalize product offer details as necessary.
  • Service/detail all brides 90 days out and be onsite coordinator the day of the wedding.
  • Facilitate wedding ceremony, rehearsal, reception set up; as well as other events on the ship as needed-weekend hours required.
  • Meet and board large groups when they arrive for their cruises. On occasion, may be required to ride the cruise with the larger groups, especially full deck and full ship charters, to help ensure outstanding product delivery.
  • Provide prompt responses to guest inquiries.

Administrative:

  • Data entry of account details in Salesforce
  • Telephone skills to talk to customers regarding their event and upsell when possible.
  • Schedule and meet with customers on the boat.
  • Track inventory of wedding decor
  • Attend pertinent meetings as requested.
  • Manage signed contracts and final counts to ensure accounts are not delinquent.
  • Maintain excellent organizational skills through time management, setting priorities, and accurate paperwork.
  • Administrative daily duties for the Sales Director and the sales team as needed.

Requirements & Qualifications:

  • High school diploma or equivalent required-bachelor's degree in a related field preferred
  • One (1) year of previous guest service experience required.
  • One (1) year related industry experience required.
  • Ability to communicate effectively in oral and written form.
  • Availability to work weekends and evenings.
  • Must be detail-oriented, organized, able to handle multiple tasks/projects at one time, and consistently meet deadlines.
  • Strong focus on guest needs
  • Ability to establish and maintain effective working relationships.
  • Effective listening and problem resolution skills
  • Proficient computer skills including Microsoft Office applications (especially Word)
