Job Summary: The Executive Assistant, CEO and Governance assists the President & CEO with Board and Governance relations, committees, and public relations for NorthStar Care Community (NSCC). Interacts effectively with Board of Directors, Executives and staff while consistently demonstrating NSCC values.
Essential Functions:
Plans board meetings to include but not limited to determining and reserving meeting location and caterer, printing and mailing invitations to board members, community supporters, staff and volunteers, selecting meeting theme and decorations.
Briefs President & CEO weekly on schedule for upcoming weeks.
Maintains President & CEO’s calendar, correspondence and materials as needed.
Assists the President & CEO in preparing presentations, reports and proposals as needed.
Ensures visiting leaders are prepared with logistic and travel details, hosted on-site and follow-up work is completed
Maintains confidentiality at all times with regard to current and previous employee records, patient information and all other aspects of NSCC considered to be confidential.
Manages day-to-day operations of the Office of Governance including maintaining corporate documents; facilitating meetings; event planning, coordinating and implementation; and developing and implementing board evaluation systems and processes.
Prepares Board agendas and oversees distribution of Board information packets to Board members.
Records and transcribes minutes for various Board of Trustees, committee, and sub-committee meetings.
Maintains an organized filing system for the Office of Governance. Ensures all required documents are filed accurately and within guidelines.
Research material and independently perform special assignments for the Executive Team, Board, and Committee members as assigned.
Makes travel arrangements, prepares itineraries, and processes expense reports as required.
Prepares correspondence and accompanying materials, initiates follow-up contacts.
Ensures participation in internal and external education, training, and activities to promote personal and professional growth and to ensure competency is maintained at all times.
Qualifications:
College Degree or the equivalent experience required in business or medical related field.
Must be able to interact successfully with board members, community leaders, patients, families, physicians, and NSCC staff.
Must be able to handle stressful situations, project timelines and interaction with the public and community.
