What are the responsibilities and job description for the Assistant General Manager position at Hotels Unlimited, Inc.?
The Assistant General Manager is responsible for supporting the General Manager in all aspects of hotel operations. You assist the General Manager with their responsibilities and everyday tasks.
Assist in overseeing and supervising the operations of all departments, including Food and Beverage (F&B), and has knowledge of those responsibilities; also assisting in these departments as needed. The Assistant General Manager and the General Manager work closely with the hotel and Corporate staff to achieve desired revenue, exceed guest satisfaction, and maintain a high level of service.
As the Assistant General Manager, you should have a strong knowledge of the brand you represent, the hotel, and the management company, Hotels Unlimited.
Key responsibilities include (but are not limited to):
OPERATIONS
- Assist with scheduling for Front Desk operations and makes sure that staffing levels are appropriate to exceed guest expectations
- Assist the General Manager in all day-to-day tasks (i.e.: paperwork, general maintenance of the property both interior and exterior, room inspections, etc.) in a timely manner
- Oversee all finance and accounting functions including, accounts payable, accounts receivable, petty cash, payroll and ordering procedures, banking procedures, etc.
- Ensure constant compliance with brand standards
- Oversee and supervise the operations of all departments and knowledgeable of responsibilities while following all brand and company policies
- Willing and able to fill in and assist in any department when needed
- Act as the interim General Manager when the General Manager is away from the hotel for an extended period of time (vacation, training, illness, etc.)
- Understand the Property Management System and reservation system to monitor/maintain room blocks and related billing, night audit functions, etc.
- Exemplify company policies and procedures
- Walk hotel at least three times daily
GUEST SERVICE
- Assist the General Manager in maintaining and exceeding market standards of guest satisfaction scores, both internal and external (i.e.: Medallia, SALT, Trip Advisor, etc.)
- Maintain guest relations with both new and returning guests
- Be proactive when dealing with guest concerns and closely monitor guest feedback to appropriately resolve issues in a timely manner
PERSONNEL MANAGEMENT
- Assist the General Manager in hiring and/or training a qualified staff to produce the highest volume of sales and affect the greatest profit while maintaining a high degree of public satisfaction, confidence, and prestige in the service and quality of the hotel
- Maintain high employee morale:
- Provide effective leadership, direction, instruction, and guidance, and should be confident in your delivery
- Attend/conduct staff meetings to ensure timely and effective communication, and ensure everyone is focused and working toward the desired goal
- Implement and maintain an effective open door communication system that crosses departmental lines to reach all employees
