What are the responsibilities and job description for the IT Executive Assistant position at Hotwire Communications?
RESPONSIBILITIES:
- Produces information by transcribing, formatting, inputting, editing, retrieving, copying, printing data, and graphics. Prepares reports by collecting and analyzing information.
- Conserves executive's time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; running errands and setting up for meetings, and initiating communications.
- Maintains the executive's appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel.
- Learning and managing all of our systems within our technology systems and applications, MS Office, Adobe, and more. Being tech-inclined is 100% required here. Learning other new tech and systems to help organize our office and streamline our processes.
- Take advanced concepts directly from the EVP of IT and turn them into easy-to-follow repeatable systems and processes that you implement, manage, track, and establish KPIs to help measure team performance.
- Schedule and coordinate team meetings and team events
- Assist with the monthly Department Report, including reminders to Team Leads and Directors regarding due dates, following for submissions, gathering information on new employees, promotions, and moves, Way To Go’s, and any other team information. Input all into a PowerPoint document for presentation at the monthly meeting.
MINIMUM QUALIFICATIONS:
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.
- College preferred; minimum high school diploma or it’s equivalent required
- Previous use of basic technology terms and management of technology staff
- Demonstrated ability and a minimum of 3 years’ experience supporting Senior Level and/or C-level executives, as well as sales experience
- Exceptional aptitude with business correspondence, telephone skills, and computer expertise, including research and data analysis
- Must be highly effective in two-way communication, including written, verbal, and telephone skills
- Exceptional customer service skills
- Strong organizational skills with the ability to meet deadlines, work under stress and be able to multi-task
- Advanced computer literacy required with proficiency in Microsoft Office products, including Excel, Word, and PowerPoint
- Prior work experience in technology and Telecommunications or other service provider companies helpful
