JOB DESCRIPTION
Title: Staff Accountant
Reports to: Senior Director of Finance
Status: Full-time
Work Schedule: M-F, 9:00 am to 5:00 pm
Job Summary
The Staff Accountant will prepare and maintain financial records to track the organizations assets, liabilities, profit and loss, tax liabilities, and other related financial activities. The accountant will manage with equity and diversity lens and should have knowledge of cash flow planning, preparing, and reviewing budgets, and assisting with tracking operational performance indicators. Promotes and adheres to company’s mission, vision and values, policies and applicable laws in a fair and equitable manner.
Duties and Responsibilities
• Works independently on routine and assigned bookkeeping and accounting tasks as directed
• Compiles all accounts payables and receivables, bank reconciliations, recording transactions and accruals, and preparing weekly payments of invoices.
• Record electronic deposits from online banking
• Prepare and send out request for payment vouchers from various government contracts
• Receive and issue receipts for payments of rent, afterschool, childcare and update account receivable
• Communicate all rent and other non-payments to senior management
• Work with thrift store management to prepare bank deposits and take to bank on weekly basis
• Manage payroll system including process and report payroll, employee allocations/deductions/into employee profile
• Manage the purchasing and invoicing system.
• Work with staff to maintain monthly thrift report
• Work with thrift store management to verify sales receipts and other accounting needs including recording thrift deposits
• Assist in the yearly Hour Children annual audit, NYSIF, and any other agency audits
• Distribute 401K payments and match
• Review online banking on a daily basis for suspicious activity and report
• Delivers with timeliness, accuracy, completeness, and effectively, to the highest ethical standards, and in accordance with generally accepted accounting principles for non-profit entities and in accordance with the organization’s mission, values, and universal standards.
Skills and Experience
• Bachelor’s degree in accounting strongly preferred; Any combination of education and experience that demonstrates the knowledge and ability to perform the work.
• Minimum three years of accounting experience to include, but not limited to: double-entry accounting (debits, credits), and reconciliations; understands the chart of accounts, trial balance, and balance sheet. Experience in non-profit and/or grant accounting a plus
• Skilled with Microsoft Word, Excel, and Outlook, Teams or Zoom teleconferencing platforms as well as experience with standard office equipment.
• Be tech savvy with experience selecting and overseeing software implementation, training, and managing relationships with software vendors; knowledge of accounting and reporting software (such as SAGE Intacct, Fundez, Kindful, etc.)
• Demonstrated experience in knowledge of accounting and practices for non-profits desirable.
• Experience preferred with grants management systems including working with New York City and New York State grants and contracts including reporting systems such as Passport, Grants Gateway, HHS, etc.
• Multi-tasker with excellent communication and relationship building skills with an ability to prioritize, negotiate, and work with a variety of internal and external stakeholders to all customers, vendors, and internal personnel.
• A successful record in setting priorities; keen analytic, organization and critical thinking skills which support and enable sound decision making
