POSITION SUMMARY:

The Volunteer Production Supervisor will contribute to the future development of the Volunteer Services Department by continuously improving the ongoing operation, safety, and volunteer experience of the Volunteer Services department. The Volunteer Production Supervisor will be responsible for leading, supervising, coaching, and motivating the Volunteer Production Representatives before, during, and after all scheduled Volunteer Experiences. This position interacts heavily with the public and therefore must have exceptional leadership, interpersonal and problem-resolution skills and must be comfortable engaging with large, diverse groups of people daily.  Additional responsibilities include ongoing and consistent collaboration with other key members of the Volunteer Services Department including the Volunteer Production Coordinator, Production Assistant Manager, Volunteer Production Representatives, Apple Corps Leaders, and Student Heroes groups of Houston Food Bank. This position will commit to the Mission, Vision, and Values of Houston Food Bank.

  1. Reliable, consistent, on-site attendance is a requirement. This position requires punctuality and dependable attendance to meet the needs of the business, including attending and participating in meetings and presentations.
  2. Responsible for the ongoing and active supervision of all Volunteer Production (VP) Representatives, Apple Corps Leaders, Student Heroes Groups, and Blue Badge Program Volunteers during all daily scheduled volunteer shifts and conduct thorough walkthroughs of all daily scheduled project areas.
  3. Responsible for running all team huddle meetings prior to and after each volunteer shift and utilizing a set agenda that covers all necessary updates regarding volunteer groups, warehouse and/or inventory updates, and other communication that aids in all team members being aware of shift expectations and goals.

 

  1. Responsible for ensuring shift assignments for VP Representatives are communicated during team huddles for each needed project area and briefly walk through each project area assignment; Supervisor will also ensure that all VP Representatives are thoroughly completing the project area toolkit (startup/shutdown quality checklists, production tracker coversheets, poundage log) and communicate any pertinent information regarding the product, inventory and/or warehouse updates during and after each shift. 
  2. Gathers and relays all Volunteer Survey Data information from VS Data Analyst on a weekly basis and shares during team huddles in order to address and plan project area adjustments and/or improvements.
  3. Works closely with the Volunteer Production Coordinator to plan and create next-day Volunteer Shift Schedules and is responsible for pre-scheduling shift assignments as far in advance in order to have all team members prepared with specific responsibilities so that project expectations and goals are met.
  4. Schedule dedicated time for VP Representatives to complete all ongoing training and professional development opportunities as it relates to online modules, in-person meetings with management, and any required offsite projects as needed. 
  5. Must be aware of all large and/or last-minute volunteer shifts and work with other team members to ensure project areas are pre-staged, the status of product availability and materials are known, and utilize any existing knowledge of all Volunteer Services Department Projects, VP Representatives Training Manual and other internal resources that will ensure the project runs smoothly and efficiently.
  6. Responsible for completing daily, ongoing, and thorough Supervisor Quality Check documentation while walking through project areas.
  7. Must review, approve, and sign off on all VP Representatives’ paperwork prior to submitting it to the VP Coordinator and ensures metrics and all required production information from VP Representatives are properly reported into internal data management systems and tracking spreadsheets.
  8. Facilitate ongoing communication and check-ins with the Assistant Production Manager regarding matters related to the VP Representatives’ assigned shift schedule, staff performance issues, and corrective action reporting, approving timecards and PTO requests as well as conducting 1:1’s and performance evaluations with direct employee’s project standard guidelines and checklist processes, and all other project-related matters regarding the department and other HFB programs. 
  9. Promotes the safety of all project areas through proper equipment assignment, use, and maintenance. Ongoing monitoring of equipment and supplies and accurately reporting all safety and malfunction requests to Facilities. Maintains the most up-to-date knowledge of all AIB reporting protocols and works in partnership with the Facilities management team to ensure success.
  10. Attend, participate and contribute to all scheduled meetings as required by the Production Assistant Manager or Director of Volunteer Services. Coordinate and collaborate with the Volunteer Services Coordinator and Production Assistant Manager as needed for special project requests and volunteer group registration.

QUALIFICATIONS: 

Education/Experience:

  • High School Diploma or GED required
  • Some college or bachelor’s degree preferred
  • Minimum of 2 years of related work experience
  • Customer Service and/or Warehouse experience preferred
  • Forklift and/or pallet jack experience preferred
  • Intermediate to advanced experience with Microsoft Office Suite and other data management systems preferred

  • Must possess strong planning and problem-resolution skills in order to resolve potential issues that may cause a negative impact on the Volunteer Experience and other HFB programming

  • Must be able to work with all members across the organization in a professional and courteous manner

PHYSICAL REQUIREMENTS:

The physical requirements described here are representative of those that must be met by an associate to successfully perform the essential functions of the job. While performing the duties of the job, the associate is required daily to analyze and interpret data, communicate, and remain in a standing or stationary position for a significant amount of the workday; and often access, input, and retrieve information from the computer and other office productivity devices. The associate must regularly move about the office and around the facility, use hands, wrists, and fingers to grip, type, and write. The associate will need to have the average ability to hear horns, warnings, and alerts associated with a warehouse. The associate must occasionally travel to other sites for business.

 

WORK ENVIRONMENT:

The work environment characteristics described here are representative of those associate encounters while performing the essential functions of this job. While the job is generally performed in an enclosed office environment, the associate is occasionally exposed to freezers, enclosed and/or tight spaces, wet and/or humid conditions, and areas in which moving mechanical parts, fumes, and toxic or caustic chemicals are present, strong food-related smells, and outside weather conditions. The noise level in the office environment is typically quiet, but the associate will be occasionally exposed to loud noise levels (e.g., horns, fans).

 

TRAVEL REQUIRED: 

This role supports all hours of operations at the Houston Food Bank facilities as necessary and requires a flexible work schedule.
