Essential Job Duties:
Schedule routine HVAC maintenance appointments for residential or commercial properties based on service agreements, equipment warranties, and maintenance schedules.
- Coordinate with customers to arrange convenient appointment times and ensure minimal disruption to their operations or daily activities.
- Communicate job details, including service requirements and customer expectations, to technicians accurately and promptly.
- Maintain accurate records of scheduled maintenance appointments, service history, and equipment specifications in maintenance management systems or databases.
- Serve as the primary point of contact for customers regarding scheduled maintenance appointments, service reminders, and follow-up communications.
- Provide courteous and professional assistance to customers, addressing their questions, concerns, and requests promptly and accurately.
- Manage maintenance contracts and service agreements with customers, ensuring compliance with contractual obligations, service levels, and pricing terms.
- Renew or renegotiate contracts as needed, in collaboration with sales and customer service teams, to maintain customer satisfaction and retention.
- Conduct quality assurance phone checks on completed maintenance tasks to verify work quality, completeness, and customer satisfaction.
- Identify opportunities for process improvements and efficiency enhancements in maintenance coordination and service delivery.
- Collaborate with management and other departments to implement best practices and streamline workflows for improved customer service and operational effectiveness.
- Review scheduled maintenance appointments and service requests for the following day to identify HVAC filters required for each job and acquire for technicians in prepared spaces.
- Collaborate with customer service representatives, dispatchers, and management to implement best practices and standard operating procedures for scheduling and appointment confirmation.
- Communicate any schedule changes or updates to customers as needed, including appointment delays, technician substitutions, or service modifications.
Requirements & Qualifications:
Two years related experience and/or training in customer service, dispatching or project management or equivalent combination of education and experience.
- Proactive & accountable
- Self-motivated, fast learner and highly organized multi-tasker with attention to detail
- Excellent phone etiquette, communication and customer service skills especially under pressure
- Familiarity with Service Titan and HVAC dispatching is ideal (will train for right person)
- Team player who is a self-starter and able to learn independently
- Confident in utilizing and learning new software programs
- Geographical knowledge of service area or map reading skills
- High school diploma or general education degree (GED)
- Must enjoy helping and working with others
