Join the high-impact, high-visibility Strategy and Business Planning Team for HP’s Personal Systems business, a multi-billion-dollar business within an innovative Fortune 100 company. This team sets and aligns the organization on the Personal Systems (PS) strategy and works across the organization to operationalize the strategy while working very closely with executives and the businesses to turn insights into strategy, actions and results.
This executive assistant position provides high-level administrative support to the Global Head of Strategy and Planning for Personal Systems. The candidate works effectively across teams, builds strong relationships across the broader organization, and navigates the complexities of a global organization. The successful candidate has superb time management skills, attention to detail, and the ability to stay calm and professional even when demands are high.
The candidate must demonstrate good judgment and self-direction, as they will be working on assignments that are complex in nature and require considerable initiative to resolve or recommend solutions. The work will be minimally supervised, and sometimes will require create new thinking and approaches. They will prioritize and complete tasks without direct supervision, being proactive and consistent in following up. A high level of integrity and discretion is needed in handling sensitive or confidential information.
The successful candidate will also demonstrate strong communication, administrative, and organizational skills, as well as finesse in interacting with all levels of management. They will apply their extensive knowledge of their job skills and HP company policies and procedures to complex, specialized assignments/tasks in efficient, effective & ethical ways. As a senior assistant, this individual will typically provide guidance to other employees and will work with teammates and cross-functional teams contributing to a positive working environment.
This job may occasionally require work outside the typical 8am-5pm, Mon-Fri working hours.
Responsibilities include but are not limited to:
Partner with the senior executive and chief of staff to create a seamless working environment for the team.
Responsible for heavy calendar management for the senior executive.
Schedule travel (domestic & international) for the senior executive, obtaining required visas when needed and submitting all travel expenses in expense management system.
Set up logistics and send out communications for virtual and/or in-person meetings, including assisting with creating the agenda, conference room setup, ordering/setting up catering, external dinners and/or team-building events.
Act as the delegate for the senior executive in specific company systems including the HR, procurement and recognition systems.
Maintain updated org charts and distribution lists for senior executive and entire organization.
Create and/or edit presentations.
Distribute reminder emails for upcoming actions, general record retention and maintenance, assisting with the cost center(s), assisting with onboarding new employees/interns, purchasing items and creating purchase orders in accordance with HP procurement policies.
Take notes and action items during meetings and follow-up to completion.
Collaborate, network and influence the executive assistant community.
Qualifications:
Senior/advanced general administrative skills/ knowledge of most general administrative issues
Strong written and verbal communication skills.
Proven organizational and time management skills. Usually works on multiple issues/projects and has the experience and ability to support multiple assignments with competing deadlines.
Expert knowledge in HP systems and processes needed to manage expenses, procurement, travel, managerial reporting, technical configuration, etc. (Training will be provided.)
Proficiency in Microsoft Office suite, collaboration programs (e.g. Zoom, Teams), and the willingness to learn new applications as needed to support the organization.
Strong interpersonal skills with the ability to balance efficiency with collaboration/cooperation to complete assignments.
Ability to represent the team with a calm, professional demeanor. Supports the organization’s culture with high-energy and a positive approach.
Ability to work effectively from an HP office as well as a virtual work environment when needed.
Education and Experience Required:
High school education or equivalent; some college level education preferred.
Typically requires a minimum of 10 years’ general administrative experience, or equivalent combination of experience and college level education.

In accordance with California statute, the estimated range of compensation for this job in that location, at the time of this posting, is $100,925 - $118,000 This position may be eligible for incentive pay, for openings where this is applicable.
