Overview

Our client, The University of San Francisco (USF) is looking to fill a temporary Assistant to the AVP/Dean of Students position.The role is expected to be onsite in San Francisco.

 

Under the general supervision of the AVP/Dean of Students, this position is responsible for providing administrative support to the AVP/Dean of Students and the Office of the Dean of Students staff. In addition, this position provides professional, non-judgmental, efficient customer service to individuals seeking assistance. This position is required to manage problems as they arise, in a confidential manner.

As part of the larger staff in Student Life, the Assistant to the AVP/Dean of Students helps to create a supportive University community which encourages student learning and development in the Jesuit Catholic tradition. The mission of Student Life is to fully support holistic student development within a social justice framework centered in preparing students to be caring, socially responsible citizens in our global and local community.

Responsibilities

  • Serves as the initial point of contact in the Office of the Dean of Students; assisting students, parents, faculty, administrators, and staff visiting or calling the Office of the Dean of Students.
  • Receives and screens a variety of calls, schedules student appointments, and routes calls to the appropriate party in a professional manner.
  • Facilitates access to services for students.
  • Handles confidential information and materials relating to faculty, student and other issues and supports the department by researching information relating to highly-sensitive student cases. 
  • Coordinates logistics for the Care Response Team, including creating and updating the agenda and meeting minutes 
  • Serves as the dedicated point person for business hour hospital transports and follow up, including coordinating student wellness checks and support.
  • Supports the Bias Education and Resource Team by scheduling meetings, responding to incoming reports, and logging case data and follow up.
  • Serves as a member of the DOS Emergency Fund Committee/Review Team- responsible for reviewing and approving applications.
  • Maintains the AVP/Dean of Students’ calendar and coordinates logistics and scheduling of inter and intra-departmental meetings.
  • Creates and updates student cases, documenting all confidential student situations.
  • Prepares monthly expense reports for the AVP/Dean of Students.

Qualifications

  • Post high school education.
  • Training or experience equivalent to one year of clerical work experience or related education.
  • Knowledge of general office procedures and ability to explain routine tasks
  • Previous experience handling confidential information preferred
  • Proficient in MS Office Suite. Ability to learn Titanium Scheduler, BANNER and Maxient Database.
  • Must be customer service and team oriented.
  • Emotionally mature, highly organized, and able to keep calm under pressure
