A Brief Overview
Coordinates/schedules dispatching of general warehouse activities for multiple military housing communities. Performs administrative functions in support of residential military communities.
What you will do
- Prepares service requests when residents call and dispatches to appropriate community associate for completion; ensures service requests are handled on an immediate basis if possible, and notifies residents of potential delays. Schedules routine preventative maintenance and follows-up to ensure quality and resident satisfaction.
- Monitors operating system dispatch board to insure work orders are meeting response and completion requirements per site Facility Management Plan policy.
- Supports and ensures timely input, proper use, and full-utilization of on-site PC-based property management software systems including entering all resident requests into the facilities maintenance database; assists with training new associates as well as with ongoing training of community associates on the use of the property management software.
- Performs administrative functions including but not limited to answering and screening telephone calls; typing and proofreading materials; generating reports from work order operating system; preparing routine correspondence; scheduling appointments; screening and distributing incoming mail; maintaining files and records; scheduling meeting rooms; and, ensuring contracts are signed and deposits are paid.
- Creates a positive community environment by maintaining professional, courteous, and continuous open communication with associates and residents. Works to quickly resolve resident issues, prepares correspondence to residents as necessary, and maintains accurate records.
- Keeps current on communication received from management on company policies and regulatory compliance, and performs duties based on those requirements.
- Property site specific duties can include monitoring or assigning warehouse materials to technicians or issuing materials to residents through self-help program.
- Property site specific duties can include parts ordering and invoice processing through purchase order operating system.
- Perform other duties as assigned.
Qualifications
- High School Diploma or GED or equivalent Required or
- Prefer vocational education which may assist in understanding dispatch functions, customer service, and a basic work background to assist with general community administration and maintenance. Preferred
- 1-3 years of prior experience to gain knowledge of dedicated customer service and dispatching; Required and
- prior administrative experience with answering/screening calls, preparing/proofreading correspondence, and maintaining files. Required
- Must be neat, meticulous and pay attention to regulations and details when completing tasks.
- Requires a self-motivated, team player who pays close attention to detail and who can prioritize in a fast-moving environment.
- Must demonstrate excellent communication and interpersonal skills, particularly the ability to interact effectively with a wide range of different people in a variety of situations.
Compensation
We are committed to offering competitive and equitable compensation. The hiring range for this position is generally between $16.82 - $25.48, exclusive of fringe benefits or potential bonuses. This position is also eligible for a performance bonus. Salaries will be determined based on factors such as geographic location, skills, education, licenses, certifications, and/or experience.
