SCOPE The scope of the fulfillment group includes any and all logistical movement, pricing/buying/stocking/special or expedited ordering, for direct purchases and related supplies needed for HPE to be successful in the Equipment Sales, Service, Rental and Parts resale business. The Expeditor reports to the Fulfillment Manager and is an hourly, full-time position. S/he is a member of the HPE Fulfillment team whose responsibility is to ensure all customer requests (internal or external) are identified and addressed in a prompt, accurate, and professional manner with the end customer always in mind.
RESPONSIBILITIES
The following responsibilities are listed in order of priority, should time and attention compromises have to be made.
SAFETY • Follow all of HPE’s safety procedures • Ensure old/waste inventory is removed from facility in timely manner (battery cores, waste oil pickup) • Report work-related injuries/incidents to Fulfillment manager. • Procure vehicle and equipment parts for maintenance work conducted by HPE technicians on service vehicles (wipers, air/oil filters, batteries, head/tail lamps, etc.) to help keep technician vehicles safe, compliant and reliable. • Follow any and all safety procedures in relation to Forklift (certification is required for operation & can be obtained through HPE) • Overall facility organization and cleanliness
QUALITY • Provide customers with accurate pricing & availability • Physically pull & electronically transfer parts needed for service techs accurately • Document inventory shortages, communicate to fulfillment manager • Maintain customer account information (Shipping address, bill to address) • Monitor & maintain technician vehicle parts stocking level for required parts • Research and source parts according to OTC/internal customer needs
DELIVERY •
Achieve service level expectations:
Unit down / Life safety request(s) require immediate assistance o Walk-in’s: Ensure that all customers are acknowledged/greeted immediately, and are provided assistance within 3 minute window o Telephone: Answer phone calls within 3 rings o Emails: Respond to email request(s) within 2 hours; Provide customer with clear & accurate information o Internal request for quotations on parts are answered within one working day
o Shipments on parts are made same day if ordered by 1:30 pm • Physically pull & electronically transfer parts needed for service techs for scheduled and unscheduled jobs as well as OTC customer orders. • Automatically-fulfill technician parts and supplies based on restock request • Inspect, coordinate delivery, and receive purchased parts/supplies (and rental/sales/warranty cores) into inventory the same day as they are delivered to warehouse. Initiate carrier claims where inspection of received goods show damage and work with Fulfillment Manager to ensure proper evidence is collected to support claims. • Support warranty process for OTC parts sales • Support service technician parts tag/return receipt and factory returns/disposal process • Process transactions to enable invoicing and transfers of all goods in fulfillment department’s control on a daily basis. • Maintain technician common tool crib check in/check out procedure, related supplies • Fulfill monthly/bi weekly stock orders for branches Other duties as assigned
PHYSICAL DEMANDS • Handling of normal stock will include lifting or carrying parts in excess of 60 lbs. regularly. Majority of lifting and carrying will involve parts between 5 and 60 lbs, forklift and dolly use for items weighing over 60 lbs. and/or bulk packed or needing to be moved more than 50 feet. ENVIRONMENTAL / ATMOSPHERIC CONDITIONS • Inside/Outside conditions, varied temperature changes, minimal chemical hazards, vibration, dust, vehicle and engine noise
QUALIFICATIONS AND EDUCATION REQUIREMENTS • High School Diploma (or GED or High School Equivalence Certificate); Related college degree preferred. • Minimum of 2 years of experience in service parts industry.
