Job Duties
- Book travel arrangements for artists within a pre-determined budget.
- Arrange housing for visiting artists adhering to specific artist requests.
- Maintain 12 permanent apartments used as artist housing by arranging cleaning between guests’ stays and by and ensuring all linens, appliances, etc. are well maintained.
- Communicate with building management at artist housing regarding maintenance requests, current building policies, inspections, and communicate artist arrival and departure times.
- Maintain paperwork detailing artists’ travel, housing, and special requests, and communicate to necessary departments.
- Greet guest artists upon arrival in Boston.
- Check in with artists at the start and end of each rehearsal day, as well as prior to, and sometimes following, performances. Rehearsal and performance coverage will be shared with the Company Manager.
- Fulfill artist requests in a timely fashion.
- Work as a liaison between the Huntington Theatre Company Box Office and guest artists to coordinate ticket requests, and as a liaison between guest artists and other Huntington Theatre Company staff, including Stage Management, as needed.
- Coordinate the activities of the Company Management department with other departments within the organization.
- Report on artist travel schedules at production meetings.
- Negotiate with vendors including cleaning services, hotels, caterers, and corporate housing vendors.
- Purchase refreshments for meet and greets, tech rehearsals, birthdays, opening nights, closing performances, and occasional meetings.
- Maintain receipts for all purchases and return receipts to the General Management
- Assistant in a timely manner

Requirements:
- Previous experience in a professional theatre is helpful.
- Excellent written, verbal, and interpersonal communication skills as well as demonstrated organizational abilities.
- Adept at managing multiple tasks simultaneously and capable of responding quickly and appropriately to the personal needs of guest artists.
- Proficiency with Word and Excel as well as experience with a calendar program (i.e. MS Outlook).
- Proficiency with Access and Tessitura is helpful but not required.
- Some physical labor is required.
Salary: $18 – $21 hourly
