Administrative Support Assistant (Part-Time)


Position Overview: We are seeking a highly organized and proactive Office Administrative Support Assistant to join our team on a part-time basis. The ideal candidate will have stellar organizational skills, impeccable attention to detail, and a structured approach to their work. This individual will be responsible for ensuring the smooth operation of our office by performing a variety of administrative tasks. The successful candidate will work independently and as part of a team, demonstrating forward-thinking and strong follow-through in all their responsibilities. Previous relevant experience is required; this position is not suitable for interns or those with little to no experience in a similar role.


Key Responsibilities:

  • Office Organization & Maintenance: Maintain a well-organized and tidy office environment, including managing office supplies, filing systems, and equipment maintenance.
  • Administrative Support: Provide administrative support to the team, including scheduling meetings, managing calendars, and handling correspondence.
  • Document Management: Prepare, edit, and proofread documents, reports, and presentations, ensuring accuracy and attention to detail.
  • Data Entry & Record Keeping: Accurately enter and manage data in various systems, maintaining up-to-date and well-organized records.
  • Communication: Act as a point of contact for internal and external communications, handling inquiries professionally and efficiently.
  • Event Coordination: Assist with the planning and execution of company events, meetings, and other activities.
  • Task Management: Track and manage tasks to ensure deadlines are met, providing timely updates to relevant team members.
  • Proactive Problem-Solving: Anticipate needs and potential issues, proposing solutions and taking initiative to address them.
  • Team Collaboration: Work collaboratively with team members, contributing to a positive and productive work environment.

Qualifications:

  • Experience: A minimum of 3 years of experience in an administrative or office support role.
  • Skills:
  • Stellar organizational skills with the ability to manage multiple tasks and priorities.
  • Strong attention to detail and commitment to accuracy.
  • Proactive and forward-thinking, with the ability to anticipate needs and take initiative.
  • Excellent written and verbal communication skills.
  • Ability to work independently and as part of a team.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office software.

Work Schedule:

  • This is a part-time position, requiring 20 hours per week, with a flexible schedule to accommodate both the candidate’s and the company’s needs.
