DESCRIPTION

The Institute for Advanced Composites Manufacturing Innovation, or IACMI ‐ The Composites Institute is seeking an experienced and detail-oriented Facility & Operations Coordinatorat our headquarters in Knoxville, TN reporting to the Chief Operating Officer. This position will directly support the IACMI leadership team as well as oversee the day-to-day management and logistics of the IACMI Collaboration Facility (ICF) and Innovation South offices. The ideal candidate will be a team player who is organized, skilled with time management and problem solving, and able to adapt to various environments. The individual should also be independent, proactive, goal‐oriented, and self‐motivated to maintain daily operations at the facility and to provide needed support for our “small but mighty” team.

MAJOR DUTIES/RESPONSIBILITIES

IACMI Leadership Team Support

  • Manage the IACMI Leadership Team’s calendars and assist in scheduling in-person and virtual meetings upon request.
  • Handle email and prepare/coordinate documents for corporate signatures.
  • Attend weekly team meetings as requested by the IACMI Leadership Team.
  • Manage staff contact list, monitor corporate voicemail.
  • Provide assistance when needed with editing and updating Power Point presentations for meetings.
  • Support logistics for all-hands staff meetings and events held at IACMI offices.
  • Schedule and provide support to the CCS Board of Directors quarterly meetings.
  • Coordinate Consortium Council meetings, gather speaker presentations, manage agenda, organize meals, and draft meeting minutes.
  • Travel and support annual IACMI Members Meetings.
  • Event planning support to include coordinating with event venues, speakers, group transportation, ordering necessary items, and participating in pre-event planning site visits.
  • Order supplies for the office or staff as needed.
  • Support shipping of items to IACMI events and related logistical support.
  • Attend events as needed and provide on-site support (registration, meals, etc.) upon request.
  • Make corporate purchases as requested by IACMI Leadership Team, maintaining appropriate documentation.
  • Assist with bank deposits when checks are received by mail, upon request.

Facility Coordination

  • Maintain presence at the IACMI Collaboration Facility (ICF) during office hours and coordinate a backup when not present.
  • Maintain the ICF facility and conference room calendars. Reserve space for IACMI team as well as IACMI partners as needed.
  • Manage the list of personnel authorized to use the ICF and assign alarm codes and keys as required.
  • Coordinate and manage the use of the ICF facility which includes meetings and events in the main office space, the conference room, or tours/events in the high bay area.
  • Track and receive deliveries made to the ICF and provide required documentation to the finance team.
  • Manage the utilities at the ICF as well as any maintenance or other facility requests (i.e., pest control, cleaning crew, dumpster pick-up, hanging pictures/signs, etc.)
  • Participate in onboarding new staff.
  • Monitor IACMI mail received and ensure it is delivered to the appropriate recipients.
  • Coordinate assignment of badges facilities and coordinate/reserve conference rooms as needed.

MINIMUM QUALIFICATIONS

  • A bachelor’s degree is preferred.
  • Prior experience in administrative and/or project support with strong coordination and organization skills.
  • Proficient in office software (e.g. Microsoft Office Suite, Adobe, etc.) for scheduling, document production, presentations, etc.
  • Prior experience managing facilities or relevant logistical support is preferred.
  • Strong written and verbal communication skills to effectively interact with internal and external stakeholders, including partners, clients, and team members.
  • Strong interpersonal skills and ability to take on a customer-facing role
  • Ability to collaborate and work in a team environment.
  • Ability to work independently and handle multiple tasks and projects, meet deadlines, and demonstrate a strong attention to detail.
  • Capacity to adapt to changing priorities and flexibility to handle unexpected challenges.
  • Problem-solver with proven ability to take initiative.
  • Ability to work under pressure and handle multiple tasks and projects.
  • Ability to lift up to 30 lbs. and use appropriate equipment to lift heavier loads and sit or stand for extended periods.
  • Willingness to travel to events upon request, with overnight stays.
  • Valid U.S. driver’s license required.

Job Type: Full-time

Pay: $50,000.00 - $65,000.00 per year
