The Senior Director of Finance and Administration has primary responsibility for the accounting functions of an international professional medical association. These accounting functions include but are not limited to the generation of consolidated financial statements, budget preparation and monitoring, coordination of timely Federal and State tax filings, and implementing and maintenance of appropriate internal financial controls for the association. The Senior Director of Finance and Administration will have a breadth of exposure to all aspects of the association through their role of oversight of the association's financial performance and will partner with President/CEO and senior program leaders to provide insights to executive-level audiences that may influence business decisions. Administration duties include employee benefits processing (insurance plan, time and attendance, pension contributions); managing equipment leases, property and equipment maintenance and repair, maintenance contracts, tenant relations, and an external IT vendor.
DUTIES AND RESPONSIBILITIES:
- Manage cash flow, forecasting, and aging reports
- Manage/Supervise/Execute various accounting functions of the organization including:

- accounts receivable
- accounts payable
- billing
- purchasing
- bank reconciliations
- financial matters related to general ledger
- ongoing statement of accounts reconciliation
- Prepare journal entries and adjustments for general accounting items
- Oversee payroll and similar benefit-related financial transactions
- Manage travel forecasting and approving of individual travel requests
- Manage vendor, supplier, and independent contractor contracts
PERIODIC REPORTING:
- Prepare or generate and distribute:

- grant or donor financial reporting compliance on funded programs
- monthly and annual financial reports for the President/CEO
- monthly and quarterly (or as-needed/on-demand) schedules or budget analysis for accounts or projects
- Create data visualizations or dashboards that provide insight or leading indicators of IAPAC’s financial performance to the President/CEO
- Develop financial presentations and financial packets (PowerPoint) for various audiences (Board of Trustees, Executive team, and donors)
ONGOING (Other Relevant Duties):
- Supervise the Finance Manager
- Develop training material and provide ongoing coaching to all staff on travel or project-related expenditure management.
- Take the lead for other tasks or duties as assigned by President/CEO
- Oversee the ongoing integrity of the new accounting software (Sage)
- Work collaboratively with the Vice President/CoS to deliver support to employees
- Engage in special projects and other duties as assigned
- Works closely with conference planning team to ensure annual conferences financial obligations are executed/resolved
YEAREND:
- Assist the President/CEO in developing annual operating budget
- Lead the annual audits processes with assistance from all other department staff
- Manage the year-end independent audit with external auditor(s)
- Coordinate the preparation of Federal and State tax filings
DESIRED SKILLS AND EXPERIENCE:
Required Qualifications (without exception):
- Bachelor's degree in Accounting, Finance, or Business Administration
- Ability to pass a background check
- Expert MS Excel User: Experience creating and owning complex models
- Expert MS PowerPoint User: Develop presentations using data visualizations
- 3 years working with Sage Intacct preferred. Experience with other software such as Quickbooks, Quickbooks Online, Blackbaud, Netsuite, etc., is acceptable
- Familiarity with budgeting software such as Sage Intacct Planning
- 5 years of management or supervisory experience
- 7 years of combined hands-on experience in Accounting and/or Finance and/or Business Administration
- A strong forecaster able to develop short-medium-long-term financial plans
- Anticipates needs and ensures they are met with little or no direction.
