Description (scope of work)
IBSS is seeking a Full Time Project Manager to support and assist project team members in the execution and implementation of a variety of project tasks particularly by providing analytic and technical support.
Key Responsibilities:
Assist with the review and improvement of a wide variety of existing NWFSC administrative processes; document current workflow in writing and make recommendations to simplify/streamline processes where possible
Organize, schedule, attend and facilitate project team meetings; take meeting minutes; document/track action items
Assist with the completion of data calls as needed, including: gathering data; tracking data call completion status; inputting responses into data call template; ensuring the final product is submitted to the appropriate requesting office
Respond to email and phone calls; maintain a well-organized electronic file system for work products on file server; review existing written administrative information on various platforms (e.g. NWFSC intranet, in Google Drive, documents on file server, etc.) to identify outdated information; work with subject matter expert(s) to rewrite content as needed; use a variety of communication methods (e.g. write emails, prepare website content, develop FAQs, conduct virtual live Q&A sessions, etc.) to educate NWFSC staff about current administrative business processes; assist with the implementation of new business processes
Assist with the management of organizational data, including but not limited to: assist property custodian with maintaining personal property data; assist with physical property inventory audits; review staff directory records and submit requests for updates
Submit monthly progress reports, which includes, but is not limited to following: accomplishments, issues encountered, travel (including purpose, significant outcomes, action items), and recommendations, if applicable
Required Skills /Education/ Certifications & Qualifications:
Bachelor's Degree in Business or a project-related field. Must have at least three (3) years of relevant work experience
Strong working knowledge of Google Suite (e.g. Google Drive, Google Docs, Google Sheets, Google Forms, etc.), Microsoft Office (e.g. Project, Visio) and Smartsheet are preferred
Familiarity with NOAA business processes and enterprise systems is preferred
Familiarity with Change Management preferred
Extensive practical use of Gantt charts and critical path analysis preferred
Must have the ability to complete research, analyze and synthesize information using evaluation and critical thinking skills
Must have the ability to provide assistance / guidance in support of NOAA Fisheries management, organizational, and business improvement efforts
Must have the ability to analyze problems, evaluate the contents of written information, and apply sound judgment to resolve problems or offer alternative solutions to management
Must have the ability to complete workflow analysis, planning, change process, and systems implementation
Must have the ability to prepare evaluation statements, reports of findings, and supporting documentation
Must have the ability to develop technical and project requirements
Must have demonstrated the ability to work independently or under only general direction
