Administrative Assistant to the Director of Operations

We are looking for a dedicated and detail-oriented Administrative Assistant to support our Director of Operations.
Job Summary:
The Administrative Assistant will provide comprehensive administrative support to the Director of Operations. This role involves taking meeting notes, scheduling flights and hotels, arranging meetings, and performing various other administrative duties to ensure the smooth operation of the company.
Key Responsibilities:
Meeting Support:
• Attend meetings with the Director of Operations to take detailed notes.
• Prepare and distribute meeting agendas and minutes.
• Follow up on action items and ensure timely completion.
Travel Arrangements:
• Schedule flights, hotels, and transportation for the Director of Operations and other staff as required.
• Prepare detailed travel itineraries.
• Handle travel-related inquiries and changes.
Scheduling and Coordination:
• Arrange and coordinate meetings, appointments, and events for the Director of Operations.
• Manage the Director’s calendar and ensure optimal time management.
• Coordinate with internal and external parties to schedule meetings and events.
Administrative Tasks:
• Handle confidential and sensitive information with discretion.
• Draft, review, and send communications on behalf of the Director.
• Organize and maintain files, records, and documentation.
• Assist with special projects and other duties as assigned.
Qualifications:
Proven experience as an Administrative Assistant or in a similar role.
Strong organizational and time management skills.
Excellent written and verbal communication skills.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Ability to work independently and prioritize tasks.
High level of discretion and confidentiality.
Attention to detail and problem-solving skills.
Ability to multitask and manage multiple responsibilities efficiently.
Ability to drive between sites. (1.5hrs)
Preferred Qualifications:
Familiarity with travel booking and management.
Knowledge of project management tools and software.
Previous experience in a start-up environment
Working Conditions:
This is an in-office position with occasional travel required.
The role may involve working outside regular office hours to accommodate the Director’s schedule and travel needs.
Occasional site visits are required
Salary : $3,000 - $4,000
