Summary:

The Administrative Clerk provides clerical support to iCircle Care Management staff including mailing, faxing, and tracking of information/documents.


Essential Job Functions:


  • Responsible for completion of faxing of authorizations and requests for CDPAS MD orders, reconciliation of fax response sheets, tracking of receipt of MD orders, scanning and uploading to member record.
  • Mail forms and notices to members and providers, create documents, scan and uploads documents to member record as required.
  • Ensure completion of all typing/filing/correspondence as needed e.g. create, copy, and distribute letters, memos, reports, and forms on a timely basis.
  • Responsible for tracking of Medicaid recertification dates, re-assessment dates, and open-case list.
  • Schedules interviews and meetings as needed, including coordinating use of conference and/or meeting areas.
  • Schedule training and prepare training binders as requested.
  • Work proficiently with electronic health record and electronic TPA software.
  • Serve as a liaison between iCircle Services and outside parties as needed.
  • Perform all other duties relevant to the position as assigned by supervisor.

Knowledge, Skills, and Abilities

  • Proficient in Microsoft office products. Able to execute tasks in a time efficient manner.
  • Ability to work in a team environment, with multiple demands and a fast pace work environment.
  • Ability to type 35 words per minute.
  • Above average proficiency in MS Office applications, specifically Excel, PowerPoint, and Access databases.
  • Ability to work independently under minimal supervision.
  • Ability to communicate effectively, both orally and in writing.
  • Detail oriented and have the ability to multi-task.

Education and Experience:

  • High School diploma or equivalency required, Associate’s Degree preferred.
  • Two years of clerical experience required, preferably in a health care/insurance setting.
