We are looking to add a high-energy, skilled colleague to our team at our Boston, MA office. As a Medical Contract Specialist, you will play a pivotal role in leading and driving the contract management process at icotec Medical, Inc.
Responsibilities:
This role will be primarily responsible for supporting icotec’s Legal, Sales and Marketing Team in the entire contract lifecycle process. Contract areas include Customer (Hospital) Sales/Purchase Agreements, Inventory Consignment Agreements, Instrument Lease Agreements, Sales Partner (Distribution) Agreements and Health Care Professional Consulting Agreements. This role will report to both the icotec Medical, Inc. (USA) Chief Executive Officer and the icotec ag (Group Parent Entity based in Switzerland) Head of Legal & Compliance.
- Support the Sales, Marketing, Education and Legal Team in drafting, reviewing, negotiating and finalizing contracts with oversight from Legal Team and/or collaboration with an outside attorney, if needed.
- Maintain approved contract templates and work with Sales Team to understand the context and needs of different commercial relationships and accordingly refer them to the correct standard contract template to use.
- Support the Marketing Team with the Health Care Professional engagement compliance approval process. This includes debarment and exclusion checks, Fair Market Value (consultant compensation) analysis and compliance approval requests.
- Ensure adherence to the correct approval/governance process (i.e. order of review & approval among relevant stakeholders).
- Setting up the signature process in accordance with the applicable Decision Rights/Limits of Authority (LOA) guidelines and then triggering the signature process for each contract.
- Prepare periodical reports to Leadership on what % of sale is under contract in order to bring visibility to contract expiration dates and escalate risks to contract adherence.
- Upload and manage repository (Sharepoint) of completed contracts (incl. tracking & reporting).
- Identify inefficiencies, create better ways of working, align with leadership and then implement efficiencies to reduce the total time of contract lifecycle.
- Understand when a Non-Disclosure Agreement is needed and when to apply the correct critical clauses for Risk, Insurance, Confidentiality, IP, Privacy and Liability, and involve the relevant functions as needed.
- Support other activities of the Legal & Compliance department including corporate governance, compliance, insurance, and legal operations.
- Other duties in support of Legal & Compliance department activities as assigned by supervisor. These may, on occasion, be unrelated to the position described here.
Requirements:
- Bachelor's degree in a relevant field.
- Certified Paralegal with a least 3 years of contracts management or contracts administration experience.
- High level of proficiency with Microsoft 365 applications, including MS Sharepoint.
- Experience in the life science, medical technology or pharmaceutical industry preferred.
- Experience in multi-national corporate environment preferred.
- Strong written skills including legal and medical terminology.
- Good analytical, problem-solving and self-management skills.
- Ability to work both independently and collaboratively in a cross-department and cross-functional role.
- Good interpersonal, team building and communication skills.
