The Inventory Specialist will be responsible for maintaining inventory records of capital and defined attractive items as well as those purchased with grant funds and shared with other law enforcement agencies. Incumbent must maintain accurate and timely records of capital assets (including attractive items) purchased, transferred and/or disposed, to ensure they are properly tagged and located, in coordination with the Fiscal team for proper safeguarding and accounting.
The Inventory Specialist reports directly to the Fiscal Manager and indirectly to the Accounting Controller and Chief Financial Officer.

ESSENTIAL JOB FUNCTIONS:
- Responsible for the life cycle of the asset – be it capital and attractive items.
- Maintains necessary accounting records to properly record the acquisition, disposal, and transfer of all capital assets and attractive items.
- Verifies the quantity and type, affixes barcodes onto equipment, updates into inventory database and distributes/stores the items/supplies.
- Verifies receipt of goods against approved POs for item type, quantity
,and pricing. - Records all transfers of equipment in accordance with agency policy.
- Handles coordination of disposals of capital assets and attractive items in compliance with Florida State Statutes.
- Liaises with Fleet, Building Maintenance and other departments to ensure the repairs and maintenance and upkeep (condition and count) of Sheriff’s office property and equipment.
- Serves as the system administrator to ensure incoming capital and attractive items are properly accounted for.
- Regularly updates the Purchasing Manager of new capital assets that need to be added into liability and/or fleet insurance
- Maintains a working knowledge of various inventory systems at CCSO, to have a good and updated understanding of all items at any given point in time.
- Implements governmental accounting standards (GASB) for fixed asset capitalization and depreciation on all Sheriff’s office property.
- Routinely evaluates controls related to effective inventory management and propose improvements as necessary.
- Conducts periodic inventory reconciliations to resolve capital asset and attractive items inventory usage/location discrepancies including the coordination of missing inventory forms and/or reports and update schedules as needed.
- Conducts annual capital assets and attractive items audit and coordinate the completion of year-end capital asset schedules to support our audited financial statements.
- Coordinates with our external auditors regarding capital asset and depreciation related testing and questions in conjunction with the Fiscal Manager.
- Coordinates with County on capital asset related requests
- Maintain and accurate and up to date tracking system to ensure deadlines are met timely.
- Communicate with Fiscal Manager and/or Accounting Controller status of completing critical due dates and notify if any challenges have arisen in meeting approaching critical due dates.
Knowledge, Skills and Abilities:
- Ability to demonstrate proficient knowledge and skill in the use of office equipment, inventory software applications, other agency and county specific applications as well as Microsoft Word, Excel, PowerPoint and Outlook applications and any other equipment required to perform position tasks.
