POSITION SUMMARY
The Payroll Specialist will work under direction of the Chief People Officer to lead our payroll processing. This position requires an extremely detail oriented person with knowledge of multi-state payroll administration.
PRIMARY JOB DUTIES AND RESPONSIBILITIES
- Processes payroll in ADP on a bi-weekly basis for approximately 300 team members in multiple states; ensures accuracy and timeliness.
- Performs payroll-related functions including but not limited to: processing new hires, terminations, status changes, tax changes, deductions, direct deposits, rate changes, garnishments, bonuses, retroactive adjustments, expense reimbursements, off-cycle adjustments and manual checks.
- Assists with 401(k) and Workers’ Compensation audits.
- Responsible for reviewing, auditing, and maintaining time cards and PTO.
- Reviews and processes vendor invoices.
- Creates and updates weekly, monthly, and annual reports as needed.
- Periodically reviews information entered by employees and managers in ADP and makes necessary corrections to ensure accurate payroll processing.
- Troubleshoots problems with paychecks, tax deductions, timecard issues, and other payroll-related matters and communicates with employees accordingly.
- Maintains human resource information system records, compiles reports from the database, and analyzes trends.
- Responds to all inquiries from unemployment offices and other government agencies.
KNOWLEDGE, SKILLS AND ABILITIES
- Practical knowledge of federal and multi-state payroll laws/regulations.
- Excellent written and verbal communication skills with the ability to communicate professionally and maintain strict confidentiality.
- Demonstrated ability, and commitment to, providing an extremely high level of customer service.
- Proficient knowledge of ADP Work Force Now and Time & Attendance.
- Advanced computer skills and proficiency with the Microsoft Office Suite and various HRIS software and systems.
- Strong organizational and time management skills with an emphasis on accuracy and attention to detail.
- Strong sense of urgency and problem-solving skills.
- Must have excellent mathematical abilities
- Highly motivated; able to work independently and in a team environment.
- Highly dependable and reliable with regard to work schedule and ability to meet project deadlines.
EDUCATION / EXPERIENCE / CERTIFICATIONS
- Bachelor’s degree in Human Resources or business-related field preferred.
- Minimum of three years’ experience processing multi-state payroll.
- PHR and/or SHRM-CP a plus.
PHYSICAL DEMANDS
- Physical demands are considered to be that of an office environment, climate controlled, with minimal physical exertion. This position requires prolonged sitting, ability to utilize a computer and interactions with others in meetings or via phone.
