WORK SCHEDULE: Monday through Friday, 8:30pm - 5:00pm


COMPENSATION: $30.59/hour DOE Benefits, Non-Exempt Position

SUMMARY OF POSITION: 

The Administrative Assistant for Registration administers College admission and registration functions under the Registrar’s direction and supervision.



ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Reviews and determines completeness of admissions files and maintains communication with students during the entire admission and registration process.
  • Performs data entry of registrations, grades, and information requests in Empower.
  • Coordinates receipt and processing of documents and is responsible for the accuracy, confidentiality, and integrity of all student academic records and student data in accordance with management policies and other regulations governing the confidentiality of student records such as the Family Rights and Privacy Act (FERPA).
  • Assists with degree audits, registration, admission, grading, certificate, and degree clearance processes in Empower.
  • Assists in all aspects of the graduation process and commencement ceremony.
  • Works collaboratively with Student Services, Financial Aid, Admissions, Business Office, and other departments in coordinating services for students.
  • Completes projects assigned by Registrar to include data analysis and reports on registration and admissions activities.
  • Provides technical and analytical support to the Registrar’s Office.
  • Assists faculty and staff with the admission, registration, and grading processes.
  • Provides policy and status information to prospective students, current students, high school guidance counselors, faculty, administrative staff, and other colleges and universities.
  • Processes student eligibility requirements.
  • Ensures that transcripts and other requests are handled in a timely manner.
  • Complies with FERPA regulations, College policies, procedures, and administrative directives, as well as state, federal, and local laws, regulations, and ordinances.
  • Performs other related duties as assigned.


KNOWLEDGE/SKILLS/ABILITIES:

  • Experience with data entry using an integrated computer system (Empower preferred).
  • Demonstrated skills using Microsoft Office Products and demonstrated proficiency in Microsoft Excel.
  • Knowledge of FERPA, academic and business practices of a higher education institution.
  • Experience maintaining confidentiality of records.
  • Ability to establish and coordinate accurate records and information systems.
  • Demonstrated strong problem solving and analytical reasoning skills.
  • Ability to handle multiple tasks while working independently and as part of a team.
  • Ability to maintain outstanding performance level while working under pressure to meet various deadlines.
  • Must be detailed and procedure oriented, well-organized, motivated, and have excellent customer service skills.
  • Excellent oral, written, and interpersonal communication skills.
  • Demonstrated ability to interact effectively in a multicultural environment.
  • Ability to pass a pre-employment background check.
  • Demonstrated knowledge in one or more of the following areas: post-secondary educational systems, North Slope Borough [NSB] institutions and organizations; Iñupiat culture, language, values, and traditions.
  • Ability to interpret and represent North Slope community values, customs, and beliefs for the College.
  • Ability to interpret and represent College actions and western institutions to the North Slope community.
  • Ability to support Iḷisaġvik College’s mission.


EDUCATION//CERTIFICATES/TRAINING [Required]:

  • High school graduate or equivalent.
  • Minimum of three years demonstrated professional administrative work experience with a history of progressively elevated responsibilities.


 

EDUCATION/CERTIFICATES/TRAINING [Preferred]:

  • Associate degree or substitute 4 years of professional demonstrated administrative work experience.
  • Minimum of five years demonstrated Registrar/Admissions experience in an educational environment.
  • Demonstrated computer proficiency in Empower and Microsoft Excel.
  • Valid driver’s license.

The employee must be able to lift and/or move up to 40 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.

Health Insurance - Iḷisaġvik College is self-insured and Meritain Health is the health insurance third party administrator. Iḷisaġvik College offers health insurance to our employees with a no cost premium, and $50/month for each additional dependent and a low cost annual deductible of $200 for employee only and $600 for family.

Life Insurance - Iḷisaġvik College offers Life Insurance and Accidental Death & Dismemberment coverage through Guardian Life to employees at no cost to the employee in the amount of $100,000/per benefit.

Additional supplemental or voluntary retirement, life insurance, disability benefits offered.
