The AV Media Specialist reports to the University Center Director and is responsible for coordinating audiovisual (AV) equipment requirements and providing technical support for internal and external events in university meeting rooms and campus event spaces. Expertise across platforms is necessary. This position requires a flexible work schedule to include weekdays, evenings, and weekends. The AV Media Specialist will be required to perform audiovisual equipment setups for clients in event spaces and assist clients with connecting computers to AV systems and the University's network. Experience with audiovisual systems, multi-microphone setups, computer graphics and audio settings with presentation software, and web conferencing platforms is preferred. This position will manage University Center equipment inventories, equipment maintenance schedules, and student worker training programs for AV system use.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
• Perform audiovisual equipment setups and breakdowns for clients in event spaces and support audiovisual equipment installed in meeting rooms. This work includes setting up web conference equipment, audio mixers and multi-microphone setups, and video recorders to support event requirements.
• Provide client support and end user assistance on audiovisual equipment, including presentation systems and microphones, and support clients connecting computers and mobile devices to the wireless network and audiovisual systems in meeting rooms and event spaces.
• Coordinate technical support and equipment needs with meeting room participants and event clients, including providing guidance and coordination for more complex audiovisual requests.
• Responsible for timely and accurate communication to clientele, UC Event contact, and IT department.
• Communicates client needs and works with the onsite UC event contact to coordinate audio visual needs during large evening and weekend events.
• Reviews event sheets to familiarize self with events and meetings occurring in the University Center; ensures AV setups are consistent with requests, while being booked in proper spaces across campus.
• Required to troubleshoot audiovisual systems in meeting rooms and event spaces and submit technology work requests if problems cannot be generally resolved.
• Leads the coordination of system upgrades and system changes with the Information Technology department.
• Responsible for resolving any issues pertaining to audio visual technology in meetings and events, which includes the authority to negotiate event pricing, based on Event Media Specialist judgement, and in compliance with University Center policies and procedures.
• Responsible for managing audiovisual equipment inventories and performing equipment maintenance in meeting rooms and event spaces. Purchase miscellaneous cables and equipment related to audio visual system in the event spaces.
• Using department specified software and reporting applications, prepare and maintain appropriate written documentation for event and meeting spaces and department procedures, including knowledge base and FAQs, web pages, and help desk tickets.
• Supervise student workers and provide training on audiovisual equipment and operational procedures. Oversee student workers in proper work and audiovisual equipment setup, technical procedures for troubleshooting equipment, and appropriate customer relation practices by providing individual and group instruction, and by performing regular and ongoing informal evaluations of student work and reporting results to supervisor.
• Identifies needs and makes recommendations for quality improvement that creates value for all clients. Recommend equipment and determine any budget implications and recommendations.
• Develops and implements items to improve AV processes and procedures, in regards events and meetings on campus.
• Assists with planning events for productions, marketing the event, finding student participation, quoting costs, etc.
•Associate degree from an accredited institution.
•A minimum of one year of demonstrated experience in audiovisual technology.
•Demonstrated experience in audiovisual troubleshooting.
•Excellent customer service, communication, organization, and problem-solving skills.
•Attention to detail and ability to manage multiple tasks at the same time.
•Sound computer and administrative skills.
•Flexibility to work many evenings and weekends.
Preferred Qualifications:
•Experience with audiovisual systems, multi-microphone setups, computer graphics and audio settings with presentation software, office productivity software, and web conferencing platforms, and associated computer peripheral equipment.
•Three or more years of audiovisual experience with demonstrated experience in troubleshooting multi-input and matrix AV systems and soundboards for medium to large events.
