What are the responsibilities and job description for the Human Resources Coordinator - Immaculata University position at Immaculata University?
The Human Resources Coordinator will perform administrative duties related to the operations of the human resource office in areas including but not limited to, general HR support and file maintenance, recruitment, onboarding and benefits administration. The HR Coordinator is the first point of contact for new applicants as well as employees and visitors doing business in the HR Office.
- Maintains employee files ensuring that filing is accurate and required documents are up to date.
- Supports employment processes through completing processing background screenings, employment documents and asset provisioning.
- Maintains office filing in department, supplies and ensures supply of needed employee support materials.
- Processes required paperwork for employee transfers, changes in job classification, salary increases, and other related employment matters.
- May assist with preparation of human resource reports such as attendance, new hire, and turnover reports.
- Answers and directs departmental phone calls.
- Receives and distributes office mail.
- Support the HR generalist and Executive Director in administrative duties as needed.
- Ensure compliance with USCIS Form I-9 Employment Eligibility Verification; audit Forms I-9.
- Performs other related duties as assigned.
Job Requirements:
- Ability to maintain confidential information and follow all applicable employment laws.
- Excellent written and verbal communication skills.
- Proficient in Microsoft Office Suite, Adobe and MS Teams.
- Excellent organizational skills and attention to detail.
- Customer service orientation is essential for this role.
- Ability to prioritize multiple duties in a busy environment.
- Prior experience in human resources office strongly preferred
- Knowledge of prior HR and Payroll related information systems (i.e., ADP) preferred
- Prior experience working in a university setting preferred
Education and Experience:
Bachelor's degree in related field preferred, high school diploma required
Two years of administrative assistant experience required; human resources administration experience preferred.
Physical Requirements:
Prolonged periods sitting at a desk and working on a computer.
