Position Description

ILC REC seeks an Operations Manager to ensure the efficient and effective day-to-day operations of ILC REC’s offices. ILC REC currently maintains staffed offices in Omaha, Lincoln, Nebraska City, Grand Island, Lexington, and Scottsbluff, Nebraska and Council Bluffs, Iowa. The Operations Manager will manage key administrative priorities via collaboration across organizational functions and components including Operations, Finance, Human Resources, and facilities. In addition, the Operations Manager would oversee any technical or software needs of the organization in collaboration with our contracted I.T. company. This position reports to the Executive Director.

Core Functions Of The Position

  • Supervise a staff of four Operations team members who are responsible for receiving clients and visitors, answering phones, managing meeting spaces, processing incoming and outgoing mail and packages, logging notes in case management databases, managing closed case files, and maintaining supplies, equipment and technology, and overall tidiness of the offices
  • Manage the Operations team through ongoing projects and operational initiatives, executing the goals and objectives of the agency
  • Ensure the smooth operation of ILC REC’s offices by overseeing and coordinating facilities-related matters and working with the property management companies to oversee contractors and vendors to enable facilities maintenance and repairs
  • Collaborate with contracted IT company to provide day-to-day support to staff, ensuring their technological, operational, and office-wide systems needs are met
  • Assist with onboarding and offboarding processes for staff and interns, including the deployment and collection of equipment.
  • Ensure safety, operational, and institutional policies and protocols are kept current and successfully implemented
  • Develop proficient and clear understanding in the use and maintenance of office systems, equipment, and technology, and assist staff as needed
  • Manage the general information email inbox, triaging to applicable parties as needed
  • Assist with the planning of organization-wide events, such as all-staff meetings and celebrations
  • Collaborate with other programing departments and perform other duties as assigned

Qualifications

  • Bachelor’s degree, from an accredited college/university, in business administration, or non-profit management strongly preferred; or equivalent combination of education and experience sufficient to successfully perform the essential duties of the job.
  • Minimum of 3 years' experience of successfully managing administrative office duties
  • Experience supervising a team with different work and communication styles is strongly preferred
  • Demonstrates excellent interpersonal communication skills with a wide variety of internal and external contractors, staff, and leadership
  • Demonstrates excellent written skills
  • Exhibits responsibility through good attendance, effective time management, dependability, self-discipline, flexibility, and working well with others
  • Openly supports departmental and organizational changes and demonstrates comfort working in a rapidly growing and evolving organization

  • Deep understanding and ability to work sensitively and well with people of diverse national, ethnic, cultural, religious, gender, and socioeconomic backgrounds is required.
  • Fluency in using Office 365 applications (ex. Outlook, Work, Excel, SharePoint, etc.) and strong ability to learn new software is required.
  • Excellent organizational skills with ability to work on multiple projects in a deadline-oriented environment. Ability to prioritize tasks and to delegate as appropriate

  • Must have a valid driver's license and reliable transportation, occasional travel may occur.

WORKING CONDITIONS

  • Occasional local travel required
  • Workdays pertain on a Monday - Friday schedule with no weekends required unless otherwise specified.

COMPENSATION

  • Annual base salary of $60,000 - $70,000, commensurate with experience.
