Position Overview:
A highly organized and adaptable Executive Assistant to support our Bothell site executives. This is a unique opportunity to join a growing organization, support multiple executives, and contribute to the success of our company.
Key Responsibilities
Executive Support:
- Manage the executives’ calendars, schedule meetings, and make travel arrangements.
- Prepare and proofread documents and presentations.
- Act as a point of contact between executives and internal/external stakeholders, including clients, partners, and employees.
Communication:
- Prioritize and manage incoming and outgoing correspondence, ensuring timely responses.
- Coordinate and facilitate effective communication within the executive team and across departments.
Meeting Coordination:
- Plan and organize meetings and team gatherings.
- Ensure meeting materials are distributed in advance and that meeting logistics run smoothly.
- Work collaboratively with other executive assistants to manage administrative needs.
- Prepare meeting agendas, take minutes, and follow up on action items.
Travel:
- Plan and book all flight and travel accommodations
- Provide travel itinerary and be available for urgent travel needs
- Research accommodation, dining options, and provide recommendations as needed.
General team support:
- Assist with providing team members general support.
- Demonstrate the ability to handle unexpected challenges and adapt to changing priorities.
Requirements
Education and professional experience:
- Bachelor’s degree in related field.
- Minimum of 5 years of experience (or 3 years of experience with a Master’s degree) in providing administrative support to leaders.
Knowledge and Skills:
- Ability to coordinate complex scheduling requests and communicate effectively with senior leadership, internal and external partners.
- Available to respond to urgent request and/or emergencies during evening, weekend, and holidays
- Ability to collaborate effectively in a team-oriented environment.
