Overview
The Administrative Assistant acts as the administrative support person for their assigned department(s) and assists the assigned member(s) of the management team.
Responsibilities
- Provide comprehensive administrative support to executive team and senior management, including scheduling meetings, managing calendars, and coordinating travel arrangements.
- Prepare and proofread correspondence, in both English and Mandarin.
- Handle all confidential information with discretion and professionalism.
- Greet visitors and clients in a professional and courteous manner.
- Manage phone calls and email inquiries, directing them to the appropriate departments or individuals.
- Manage office supplies inventory and coordinate reorders with procurement department as needed.
- Assist with organizing and coordinating company events, meetings, and conferences.
- Handle general office maintenance and liaise as needed with departments or external vendors.
- Complete any other tasks as assigned by management.
Required Education/Experience
- Fluency in English required.
- Fluency in Mandarin required.
- High school diploma or equivalent required.
Competencies
- Proficiency in professional communication to collaborate effectively with coworkers and other departments.
- Ability to multi-task and work in a fast-paced environment.
- Must be a team player.
- Capacity to quickly learn required skills, such as basic office equipment and selected company software programs.
Work Environment
The work environment for the position includes enclosed offices.
Physical Demands
The physical demands of the position include walking, standing, reaching, and sitting, on a regular basis; ability to speak and hear; ability to visually detect product color and shading variation; entering text or data via keyboard into a computer; seizing, holding, grasping, turning, or otherwise working with the hands; ability to hear, understand, and distinguish speech and/or sounds.
