Assistant Scheduler Job Description:
In STEPPS is hiring an in-office assistant scheduler to join the scheduling team! The assistant scheduler is responsible for assisting all schedulers with cancellations, planned absences, client terminations as well as the planning for new staff and staff separations. Substitute scheduling, social skills scheduling, and problem-solving skills are indispensable in this position. Additionally, coordination with clinical staff, and frequent and positive communication with parents and staff are pivotal.
What you bring to the team:
- Proven administrative or assistant experience (1 year)
- Knowledge of office management systems and procedures
- Knowledge of Central Reach preferred
- Excellent time management skills and ability to multi-task and prioritize work
- Attention to detail and problem-solving skills
- Excellent written and verbal communication skills
- Strong organizational and planning skills
- Available Monday-Friday 9:30am-6:30pm
- Comfortable working in the Vista office location
Responsibilities of the Assistant Scheduler:
- Carry out administrative duties such as filing, typing, copying, binding, scanning etc.
- Cover the reception desk when required
- Covers schedule of team members if absent
- Handle sensitive information in a confidential manner
- Updating caseload logs
- Coordinate Social Skills and camp schedules
- Audits employee schedules for rest breaks, meal breaks, mileage, and travel time
- Communicates with client families for therapist cancellations
- Communicates with therapist for family cancellations
- Update employee calendars for availability changes
- Assists with unconverted report
- Assist schedulers with any other projects/ tasks as needed
- Schedule CLP Trainings
- Responsible for either opening and or closing office
- Travel to South SD office to open and close as needed
Physical Requirements: Maintain physical condition necessary for walking, standing, and sitting for prolonged periods of time; may be required to push, pull, bend, lift up to 50 lbs., carry, reach, and stoop.
