Who we are:

Incollingo Food Service, d.b.a. (ATI Provisions, LLC) started two decades ago with one truck in the food distribution industry. This past year we grew into a new warehouse building, we are are now running several trucks, we implemented a new system for quality leadership and advancing business, and we have organized for even more growth in the coming years. The internal culture is positive and the primary two executives, who are also the owners, take pride in a well-developed team that enjoys their work. Externally, the company has a brand as the high customer service distributor with capabilities outpacing the competition for meeting the needs of the customer. Our customers, who we love, are generally small and passionate restaurants, pizzerias, sandwich shops, and more.

Who you are:

In recent growth, the awareness occurred to advance the accounting department and the hired candidate will enjoy the opportunity to be the leader and doer of the department until such time that growth necessitates more staffing. There is existing additional support to backfill planned time off and surge work, such as an external CPA firm and fellow teammates who can assist basic bookkeeping data entry and more.

What will you be doing?

This position will perform bookkeeping and accounting functions and directly assist the President on all aspects of tactical and strategic matters relating to financials, budget, forecasting needs, AR, AP, and internal control. For the general bookkeeping, the position works closely with Orders Fulfillment for AR, and with Purchasing for AP. This is a growing food distribution company and you will be the single staff member for the entire department of accounting and bookkeeping which means you will lead it, be the primary doer (with back up support noted previously), and directly work with the President. Although there are basic processes in place, you will have the latitude to drive the needed improvements, most especially ensuring GAAP compliance.

ROLES AND RESPONSIBILITIES

Required

  • For these bulleted duties, generally the role will be ensuring the bookkeeping is 100%. Then the related accounting functions are done to the extent the single-person staffing capacity allows with the gaps to be covered by an external CPA firm for potentially more advanced accounting functions such as monthly reconciliations, annual tax preparations, annual audit, etc.
  • Improves and streamlines accounting and bookkeeping processes and procedures, using advanced computer skills and ensuring GAAP compliance.
  • Documents financial transactions by entering account information.
  • Summarizes current financial status by collecting information, preparing balance sheet, profit and loss statement, and other reports.
  • Substantiates financial transactions by auditing documents.
  • Maintains accounting controls by preparing and recommending policies and procedures.
  • Reconciles financial discrepancies by collecting and analyzing account information.
  • Manages and conducts the cash and check deposit process.
  • Tic and ties AR and AP in coordination with cross department teams of Orders Fulfillment and Purchasing.
  • Maintains all relevant documentation for AR and AP.
  • Provides AR aging reports and gives key insights for the President.
  • Develops processes for and maintains financial security with internal controls.
  • Prepares payments by verifying documentation and requesting disbursements.
  • Complies with federal, state, and local financial legal requirements by staying abreast of best practices for internal accounting and bookkeeping, and able to work with external firms to improve internal practices by gaining insights and receiving recommendations.
  • Prepares budget and forecasting reports in Excel with provided templates by pulling financial data from QuickBooks Online and the Operations software (related financial data).
  • Maintains customer confidence and protects operations by keeping financial information confidential.
  • Creates and maintains standard journal entry list, ensuring that the G/L is up to date and reconciled on a monthly basis.
  • Conducts monthly “closing of financial books” (if needed, with support from an external CPA firm).
  • As requested, provides financial reports for the President.
  • Update Key Performance Indicators and send to the President.
  • Annually supports the Executive leaders during strategic planning with YTD financials, forecast, completing templated budgets, etc.

Preferred

  • Maintains a cash flow forecast and provides awareness to the President for concerning any positive trends.
  • As needed, makes recommendations to the President for all accounting and bookkeeping needs: staffing, processes, software, etc.
  • Assist with payroll and related actions via the software system (we use Paychex).

Education

  • Bachelor's or commensurate work experience

Experience Level: 5 years

Experience by area, preferred:

  • Accounting: 3 years
  • Bookkeeping: 4 years
  • QuickBooks Online: 1 year
  • Excel: 4 years

Job Type: Full-time

Pay: $55,000.00 - $82,000.00 per year
